Background

The United Nations Development Programme (UNDP) is committed in promoting and advocating the global Millennium Development Goals (MDGs) as well as the national objectives articulated in consecutive Five-Year Plans of the Government of India. The organizationremains dedicated to its goal to help improve the lives of the poorest, the marginalized and the disadvantaged in India. UNDP’s programmes are focused across specific sectors, and are implemented in partnership with line ministries as applicable for each sector. UNDP aims to use the knowledge from the across the sectorial interventions to influence policies, improving the delivery of goods and services, and aiding sustainable development. Thus this project on policy advocacy, capacity building and institutional changes compliments the numerous other direct interventions supported by UNDP. Through structured and sustained
engagement with a range of stakeholders and technical experts, both within and outside the government, national and international, this project aims to work towards developing national capacities to implement the government’s agenda of inclusive and pro-poor growth.  

The activities in this project range from primary and secondary research specially focussed on issues of inclusion, participatory reviews of impact of programmes, developing and implementing capacity building strategies in partnership with premier national partners, and using communication as a tool for development and achievement of MDGs.

Duties and Responsibilities

The Project assistant will work closely with the senior programme officers undertaking policy related work in UNDP and will report to the Executive Officer / Programme Officer, UNDP India.  
  • In the above context, the project assistant will provide the following functions;
  • Assistance in preparation of documents, guidelines and presentation and follow up on all programme and activities;
  • Creation of projects budgets in ATLAS (UNDP ERP software), preparation of budget revisions in ATLAS, revision of project award and project status, determination of unutilized funds, operational and financial closure of a project;
  • Maintenance of the internal expenditures control system including timely corrective actions on unposted vouchers, including the vouchers with budget check errors, match exceptions;
  • Creation of e-requisition, making budget check for requisitions, Purchase Orders and vouchers in ATLAS;
  • Arrange appointments and, travel management and screening of telephone calls and answers queries with discretion;
  • Provide procurement support to the project by compiling and preparing contract documents and ensuring submission and follow-up with procurement unit;
  • Draft and type routine correspondence, making and responding to routine verbal/written enquiries, collation and organization of data and information;
  • Provide back-up support for all activities including assisting in making travel, logistic arrangements, maintains the supervisor’s calendar, screening of calls;
  • Organize and systematize documentation and reference materials, including classifying and sorting important papers, locating new reference materials as required, and filing relevant papers, preparing abstracts of reports and maintaining proper record of important files;
  • Logistic and administrative support the organization of events and workshop;
  • Updating the existing data in the online contact database hosted on UNDP Intranet;
  • Support inventory management, stocktaking and filing;
  • Facilitate responses to queries, support in updating media email, thematic lists groups;
  • Documentation, internet search, formatting documents/printing;
  • Perform other duties as assigned by the Supervisor.

Required Skills and Experience

Education:
  • Bachelors Degree. Computer education and experience in working with databases.

Experience:

  • Candidate should have worked with the event and database management system for three years; preferably with UN system.

Language:

  • Excellent oral and writing skills in English and Hindi.
Remuneration package is Rs.52,884/- per month(taxable).
