Background

Under the direct Supervision of the Operations Associate, and overall guidance and supervision of the Operations Manager, the Storekeeper provides reliable store management services. The Storekeeper demonstrates a client-oriented approach, tact and ability to work with people of different national and cultural backgrounds.

Duties and Responsibilities

Summary of key functions:
  • Receives, stores, and issues supplies and equipment and compiles records of supply transactions;
  • Keeps updated Inventories of supplies and equipment;
  • Compiles report of expenditures, ensuring stocks are always replenished;

Receives, stores, and issues supplies and equipment and compiles records of supply transactions focusing on achievement of the following results:

  • Maintains updated records of the various supplies in the stores and keeps accurate records in line with UNDP guidelines;
  • Controls all incoming/outgoing supplies by such methods as physical counts and/or rejection of any damaged commodities;
  • Signs Delivery Notes of received and dispatched goods/supplies and forward them together with invoices to registry for onward transmission to finance for payments;
  • Delivers goods on request against official and approved documentation.
Keeps updated Inventories of supplies and equipment focusing on achievement of the following results:
  • Keep updated records on stack cards, and/or computer inventory lists;
  • Make periodic physical inventory checks;
  • Well analysed data is produced on the basis of organized, accurate and well documented records;
  • Data discrepancies are recognized and brought to the attention of the appropriate supervision and/or officer.
Compiles report of expenditures focusing on achievement of the following results:
  • Accurate and precise records of stock expenditures are maintained and presented quarterly to Supervisor.

  • Ability to perform a variety of repetitive and routine tasks and duties related to stores;
  • Ability to review data, identify and adjust discrepancies;
  • Ability to handle a large volume of work possibly under time constraints;
  • Good knowledge of administrative rules and regulations;
  • Detailed knowledge and understanding of clerical, administrative, secretarial best practices and procedures, in-depth knowledge of office software applications relating to word processing data management presentation, ATLAS, as required;
  • Ability to operate and maintain a variety of computerized business machines and office equipment in order to provide efficient delivery of service;

Managing data:
  • Collects and compiles data with speed and accuracy identifying what is relevant and discarding what is not, records it in an accessible manner and maintains data bases;
  • Thoroughly and methodically collects, verifies and records data demonstrating attention to detail and identifying and correcting errors on own initiative;
  • Transmits file data; creates and generate queries, reports and documents utilizing databases, spreadsheet, communications and other software packages with speed and accuracy;
  • Interprets data, draws conclusions and/or identifies patterns which support the work of others.

Required Skills and Experience

Education:
  • Completion of Secondary education.
Experience:
  • 3 years of relevant work experience in stores management;
  • Ability to work with computer and office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages.
Language Requirements:
  • Fluency in English and Somali languages.
