Background

Youth Economic Empowerment Project of UNDP aims to support the Government and the people of Yemen during the unprecedented transition, addressing youth unemployment as one of the root causes of conflict. The project will build on capacities and lessons learnt from the pilot phase (2012-2013). Strategic partnerships will be further strengthened to support institutionalization of the 3x6 sustainable employment creation approach, and prepare for scaling up of the piloted innovative tools to achieve catalytic impact while at the same time actively engaging the Government, the private sector, micro-finance institutions and donors to work together with a common goal, building the resilience of Yemeni youth for economic revitalization and paving the path for inclusive and sustainable development. The activities of the project will reach nine governorates Aden, Abyan, Sada'ah, Sana'a, Taiz, Ibb, Hodeida and Hadramout.

As the project’s plan for scale up includes national and international meetings, conferences, exhibition and events, the need to have a dedicated staff to supervise of the organization of the expected events in order to active the objectives of the project in supporting the country. Under the supervision of the Chief Technical Supervisor of the Youth Economic Empowerment Project, Event coordinator will support the project through its international, national and local events, which may include—exhibition and fairs, festivals, conferences, promotion, fundraising and social events. The coordinator will work with private and public sectors and will make sure that the events are in line with the YEEP and UNDP’s overall strategies.

Duties and Responsibilities

The Project Coordinator will work under the guidance and supervision of the CTA and in collaboration with project team members, and implementation partners. Specific responsibilities include the following:

  • Liaising with the project and the relevant stakeholders to ascertain their precise event requirements;
  • Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);
  • Agreeing to and managing a budget;
  • Securing and booking a suitable venue or location;
  • Ensuring insurance, legal, health and safety obligations are adhered to;
  • Coordinating venue management, caterers, stand designers, contractors and equipment hire;
  • Organizing facilities for car parking, traffic control, security, and supporting in mobilizing media;
  • Identifying and securing speakers or special guests;
  • Planning room layouts and the entertainment program, scheduling workshops and demonstrations;
  • Coordinating staffing requirements and staff briefings;
  • Preparing delegate packs and papers;
  • Liaising with marketing and PR colleagues to promote the event;
  • Liaising with clients and designers to create a brand for the event and organizing the production of tickets, posters, catalogues and sales brochures;
  • Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
  • Overseeing the dismantling and removal of the event and clearing the venue efficiently;
  • Organize, if applicable, travel requests, itineraries, and accommodation for guests;
  • Post-event evaluation (including data entry and analysis and producing reports for event, identifying pending payments for clearance);
  • Any other tasks that s/he will be assigned by the CTA.

Required Skills and Experience

Education: 

  • Hold a secondary school certificate.

Experience: 

  • Minimum of five years of proven and solid experience of administration and project implementation.

Language Requirements: 

  • Usage of English and Arabic is required.
