Background

Through research, development of knowledge products and engagement in a variety of practical procurement activities, the Intern for Policy Support will learn about the development and impact of procurement policies and strategies in an international organization and the ways in which it is implemented in practice.

The intern will be under the direct guidance and supervision of the Procurement Specialist.

Duties and Responsibilities

To be trained in, and engage with, the development and implementation of procurement, policies and strategies focusing on achievement of the following results:

  • Learn about the development of procurement strategy and policy in line with organizational objectives as well as the implementation of such policies;
  • The provision of support to the office’s procurement business process mapping and the elaboration of internal Standard Operating Procedures (SOPs), in consultation with direct supervisor and management;
  • The provision of support to the identification, mapping and knowledge needs for procurement across UN WOMEN;
  • The provision of support to the design, development, testing and application of procurement learning materials and events.

To be trained in, and engage with, the delivery of timely, effective and accurate procurement services to clients, focusing on achievement of the following results:

  • Follow-up with product developments and deadlines;
  • Learn the creation of technical specifications and Incoterms in cooperation with clients, applying any corrective measures to ensure that customers’ expectations are met;
  • Learn how to prepare Oral/written response to routine queries from UNWOMEN staff in the Regional Offices, Country Offices, and other stakeholders on procurement issues regarding policies and procedures;
  • Ensures contractors' insurance reviews are up-to-date and in compliance with Purchasing policy and procedures.  
  • Support the creation and implementation of an effective and efficient process for reporting and maintaining Supply Chain policy information;
  • Learn to Prepare and execute negotiations with vendor following the established Strategic Sourcing Methodology and development of sourcing forecast;
  • Maintaining up-to-date knowledge of relevant market developments, reports preparation and analysis of procurement needs and historical procurement. Management of vendor performance.

To be trained in, and engage with, the provision of support to specific procurement processes, focusing on achievement of the following results:

  • Learn the preparation of procurement plans for the office and Projects and their implementation monitoring;
  • Support and learn the preparation documentation of procurement processes of RFQs, ITBs or RFPs, bids or proposal evaluation;
  • Support to the procurement unit and learn the process of updating the rosters of suppliers and Individual Contractors;
  • Learn the maintenance of organization-wide, real-time data of all contracts and agreements.

Required Skills and Experience

Education and Certification:

  • Be enrolled in a graduate school programme (second university degree or equivalent, or higher) or Be enrolled in the final academic year of a first university degree programme (minimum Bachelor's level or equivalent) or Have graduated with a university degree and, if selected;
  • Must commence the internship within a one-year period of graduation.

Work Experience:

  •  Experience in the usage of computers and office software packages (MS Word, Excel, etc.);
  •  Knowledge of database packages is preferable.

Language Requirements

  • Fluency in written and spoken English including any UN language.

Conditions:

    • UN Women will not pay for the internship; all the expenses connected with it will be borne by the intern.
    • UN Women accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship; The Intern must provide proof of enrolment in a health insurance plan;
    • The Intern will not be eligible to apply for, or be appointed to, any post in UN Women during the period of my internship or for the six months immediately following the expiration date thereof;
    • The Intern will be personally responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed.
