Background

Launched in 2008, the Business Call to Action(BCtA) is a global membership platform that encourages private sector companies to develop innovative business models that combine profitability with development impact, in support of the United Nations Millennium Development Goals (MDGs).

BCtA members are market leaders and innovators, committed to developing commercially viable business ventures that engage people living at the Base of the Pyramid (BoP) as consumers, producers, suppliers, and distributors of goods and services. In more than 50 countries, business leaders are spearheading efforts to provide the poor with the tools and resources they need to succeed by promoting economic opportunity.

BCtA provides a leadership platform for companies to demonstrate their commitment to development and to access global expertise on innovation at the BoP.

The Business Call to Action (BCtA) is a global corporate leadership platform, with over 100 member companies that are incorporating inclusive business approaches in their operations to help advance the MDGs. As innovators in this space, BCtA member companies are advancing the inclusive business agenda by creating novel business models, sharing lessons learned, and forging partnerships to improve scale and increase development impact. The initiative is the result of a partnership between the Dutch Ministry of Foreign Affairs,  the Swedish International Development Cooperation Agency (Sida)UK Department for International Development (DFID), US Agency for International Development (USAID), United Nations Development Programme (UNDP), and the United Nations Global Compact to meet the anti-poverty Millennium Development Goals by 2015. 

Duties and Responsibilities

Administrative Support:

  • Provide logistical and administrative support to Business Call to Action at the Private Sector and Foundations Team in the Bureau for Policy and Programme Support, including arranging meetings, communicating with partners and other stakeholders, filing, note taking, reporting etc.;
  • Provide organizational support for BCtA events, hotel bookings, transportation, processing travel requests and reconciliation, etc.;
  • Handle all logistical and administrative matters pertaining to BCtA including procurement and contracting activities, making arrangements for conference calls and/or face to face meetings;
  • Sustain effective communications in and out of the BCtA Secretariat;
  • Oversee the work progress of all consultants and firms under BCtA such as the Event Organizers, Production Companies & other consultants working on BCtA matters;
  • Provide support to drafting and editing of TORs and any other documentation pertaining to BCtA operations;
  • Utilize effective management systems and databases for effective recordkeeping;
  • Archive, organize and manage the documentation effectively;
  • Provide assistance to the Programme Manager through timely technical and administrative support as required;
  • Support the BCtA Secretariat in other tasks that may arise.

Procurement/Financial Processes Support:

  • Support the preparation of procurement plans and their implementation;
  • Support the organization of procurement processes including preparation and conduct of RFQ/RFPs, receipt of quotations, bids or proposals, their evaluation, negotiation of certain conditions of contracts in full compliance with UNDP rules and regulations;
  • Preparation of Purchase orders and contracts in and outside Atlas, preparation of Recurring Purchase orders for contracting of services, vendors’ creation in Atlas;
  • Preparation of buyer/meeting participant profile in Atlas;
  • Support the preparation of submissions to the Contract, Asset and Procurement Committee (CAP) and (Regional) Advisory Committee on Procurement (R/ACP);
  • Entry in Atlas of all the requisite management information;
  • Support the implementation of the internal control system which ensures that Purchase orders are duly prepared and dispatched. Timely corrective actions on POs with budget check errors and other problems;
  • Support the preparation of cost-recovery bills in Atlas for the procurement services;
  • Support the development and update of the rosters of suppliers, implementation of supplier selection and evaluation. 
  • Maintain data on all contracts and take timely actions for the renewals;
  • Timely provision of financial reports upon request;
  • Proper closure of the POs and support to quarterly/annual accounts closure process.

Required Skills and Experience

Education:   

  • Secondary Education with specialized certification or training in procurement. University Degree in Finance, Business or Public Administration would be desirable, but it is not a requirement.
  • UNDP Procurement Certification programme is an asset.

Experience:   

  • 5 years of relevant post-education experience is required;
  • Computer literacy: Experience in the usage of computers and office software packages (MS Word, Excel, etc),
  • Advance knowledge of automated procurement systems, experience in handling of web based management systems such as Atlas/PeopleSoft or other ERP system are desirable;
  • Strong interpersonal and organizational skills;
  • Good writing and communication skills.
  • Demonstrated ability to work in a team environment
  • Previous experience in the UN is an advantage, but not an requirement;

Language Requirements: 

  • Fluency in English and Turkish required.
