Background

Under the guidance and supervision of the Administrative/Finance Associate, the Safety and Reception Assistant provides daily safety and reception support for UNFPA premises.

The Safety and Reception Assistant demonstrates a client-oriented approach, tact and ability to work with people of different national and cultural backgrounds.

Duties and Responsibilities

  • Provide Safety coverage at the entry points of UN premises and annex buildings (if any) to prevent entry to unauthorized persons and the unauthorized removal of UN property;
  • Screen persons, packages and vehicles ( if applicable) entering the premises including clearance through metal detectors and by use of x-ray equipment, if available;
  • Provide reception and safety information and directions to all persons associated with the Agency, including visitors;
  • Handover suspicious persons to the Government guard for necessary measures;
  • Monitor the CCTV and take prompt actions if a suspicious event occurs;
  • Conduct exterior, garage, and garden patrols for the purpose of intercepting unauthorized persons attempting to gain entry to the premises;
  • Cooperate and liaise with the Government guards to prevent unauthorized parking in front of UN offices;
  • Primarily report to UNFPA Security focal point (SFP) for all safety related issues and comply with the directions of the SFP;
  • Receive directions and advices from other supervisors and comply, if applicable, especially in silent hours and weekends;
  • Maintaining log look and keep records as guided by the SFP;
  • Maintain alertness for any potential or actual breach of safety and any disturbance or unusual activity;
  • Assist SFP in building evacuation drills;
  • Ensure all doors secure and lights are off after staff members depart;
  • Act as telephone operator on time of need, especially during silent hours;
  • Delivers internal/external mail to staff members as required;
  • Perform other related duties as assigned.

Required Skills and Experience

Education:

  • Secondary education;
  • Candidates with higher educational qualifications with less experience in safety and security field will be considered.

Experience:

  • 1-2 years of work experience.

Language Requirements:

  • Good knowledge of the national language of the duty station; and
  • Fair knowledge of English.

Note:

Must work 40 hours per week and capable of doing long shifts, where necessary.
