Background

The Department of Economic Affairs (DEA), Ministry of Finance, Government of India is responsible for developing India’s policy and strategy for economic development in the Government of India. The department engages in creating research inputs in Economics and financial issues. The Department also engages academics and researchers outside the Government to study new economic issues that evolve and arise periodically and develop a think tank on these issues. DEA has entered into a partnership with UNDP India to provide research and development support and procurement services to the DEA under the two projects. The partnership aims to support capacity strengthening, improved knowledge, producing original research, and contribute substantially to India’s research and development agenda presented at the multilateral fora with references to countries.    

To support DEA in the above area of work, UNDP is looking for a dynamic individual for the position of Project Assistant to be located in DEA. The incumbent should have a good mix of administrative and management expertise, analytical capabilities, documentation and drafting skills and good knowledge of data base and IT tools.

Summary of key functions:

The Project Assistant will work under the guidance and direct supervision of the Director, Multilateral Relations, DEA, and Programme Analyst, UNDP. The incumbent will primarily be responsible for extending administrative and project management support services, preparation work for meetings including documentation and drafting notes and correspondence, and coordination and follow up in matters relating to the DEA-UNDP projects under implementation in DEA. The Project Assistant will provide support services and envisaged results ensuring high quality, efficiency, accuracy and consistency of work. The Project Assistant will work in close collaboration with the projects team placed in DEA to produce information and support project administration and management. The incumbent is expected to perform the following duties.

Duties and Responsibilities

The Project Assistant will be responsible for the following tasks:

  • Provide administrative and logistical support in the implementation of projects including assistance in tracking project financials and reporting;
  • Provide administrative and logistics support to organization of events, meetings and day-to-day activities, prepare draft correspondence for project related approvals and meetings and any other routine communication;
  • Develop and manage appropriate monitoring and information systems for efficient working;
  • Provide support to inventory and asset management under the projects;
  • Arrange appointments and assist in travel management,  screen telephone calls, answer queries with discretion;
  • Follow up with stakeholder’s on deadlines and commitments made, actions taken;
  • Maintain files and records relevant to the work;
  • Provide support in documentation, internet search, formatting of documents / printing;
  • Perform other duties as assigned by the Supervisor;
  • Submit regular updates, progress reports on deliverables to the Director(UN) and UNDP;
  • S/he will undertake any other task consistent with the level of the post and/ or as assigned by the Director, DEA.

Required Skills and Experience

Education: 

  • Bachelor’s degree;
  • Specialization certification in computer education and experience in working with databases would be desirable.

Experience:

  • 2-3 years of relevant experience. Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems will be an asset;
  • Familiarity with the working environment and professional standards of international organizations and national governments. High quality reports and knowledge products (samples may be requested as reference);
  • Ability to work independently and under pressure. 

Language:

  • Excellent command of the English language and local language of duty station.

Travel:

  • Willingness to travel.

Remuneration package is INR 50,065 per month (taxable). UNDP also offers additional benefits which include medical insurance coverage and limited pension reimbursement for contract holder and encourages work life balance.
