Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. Placing women's rights at the center of all its efforts, UN Women leads and coordinates the United Nations system efforts to ensure that commitments on gender equality and gender mainstreaming translate into action throughout the world. At the field level, UN Women provides demand-driven technical support for the implementation of the Member States' priorities and efforts, building effective partnerships with civil society and other relevant actors.

UN Women Country Office in Georgia has been implementing its country programme (Strategic Note and Annual Work plans 2014-2015) aimed at supporting national and international commitments to women’s empowerment and gender equality in partnership and coordination with national and international stakeholders Georgia, including through the project “Innovative Action for Gender Equality in Georgia” (IAGE), supported by the European Union represented by the Commission of the European Union.

The project aims at supporting the government to adopt and implement relevant policies and legislation addressing specific healthcare, social and economic needs of women. The initiative answers the specific objective two of the EU Instrument for Stability: Support to stabilisation and conflict-affected areas (Georgia):  “Strengthening and capacity building of civil society and promotion of people-to-people contacts.” The current initiative (project) will be operationally closed in June 2015.

In order to ensure successful completion of IAGE Project activities and meet the contractual obligations of the   initiative, as well as to support a follow up UN Women programming based on the results of the IAGE project and aimed at ensuring sustainability and national ownership of the results, UN Women plans to hire a Project Assistant, who will work under supervision of IAGE Project Manager and Operations Manager.

Duties and Responsibilities

The Project Assistant will provide the following functions:

  • Assist  IAGE Project  Manager in the preparation of reports, Project documentation and submissions;
  • Assist IAGE Project Manager in monitoring of the Project activities by reviewing Project documentation and a variety of records, progress reports, budgets, and financial expenditures;
  • Maintain accurate financial and personnel records of IAGE Project as required by UN Women Country Office;
  • Ensure the maintenance of a filing system, reports or other documentation on IAGE Project;
  • Documenting  Project activities and reports;
  • Assist  IAGE Project  Manager in coordination of the exchange of information among the Project partners/grantees;
  • Prepare and disseminate invitation, agendas, various information and etc.;
  • Draft correspondence of a routine nature, responses to inquiries ensuring correctness in terms of format, grammar, and spelling;
  • Make arrangements for appointments and meetings, provide administrative support to conferences, workshops, retreats;
  • Facilitate travel arrangements: initiate travel authorization for approval, reserve flight schedules, coordinate with  Country Office Operations’ section for relevant travel advances and claims, seek appropriate visa and security clearances;
  • Make arrangements for appointments and meetings, providing administrative support to conferences, workshops, retreats of the IAGE Project;
  • Prepare payment requests, financial reports, budget planning, and financial expenditures as needed;
  • Safe keeping and maintenance of IAGE UN Women equipment and stocks;
  • Act as an interpreter/translator on matters relating to IAGE Project activities from English, Russian and into Georgian language and vice versa when required;
  • Assist Country Office in Final Report preparation for IAGE Project;
  • Assist Country Office in Operational Closure of IAGE Project;
  • Assist with photocopying, scanning, and faxing (both Country Office and IAGE related activities);
  • Maintain general office organization (office supplies, rent, communication and transportation issues, etc.);
  • Support Country Office Operations department in document filing functions;
  • Undertake any other project assistance tasks as assigned, aimed at supporting follow up UN Women programming based on IAGE project results.

Required Skills and Experience

Education

  • Bachelor's degree in English, Public Relations, or similar.

Experience

  • Al least three years of work experience in the area of administration and finance;
  • Work experience in development projects will be an asset;

Language Requirements

  • Proficiency in Georgian, English and Russian.
