Background

The Programme Assistant is located in Country Offices (CO) and reports to either the Deputy Representative or the Assistant Representative.

The Programme Assistant provides programme support services ensuring high quality, accuracy and consistency of work.  The Programme Assistant works in close collaboration with the programme and administration staff as required exchanging information and supporting programme delivery.

Duties and Responsibilities

  • Assists in the preparation and finalization of office/programme documents/reports by collecting and consolidating relevant information;
  • Provides effective assistance to programme components management and administration in the creation of projects in the system in place (Atlas), preparation of budget revisions, determining of unutilized funds, operational and financial closure of a project;
  • Assists in presenting information for audit of National Execution (NEX) projects;
  • Creates requisitions in Atlas for projects and consolidates all relevant supporting documents;
  • Renders substantial support in keeping track of the project management module in Atlas by uploading documents, budget revisions, field visits reports, standard progress reports, annual work plans;
  • Generates reports from Atlas to be used in programme monitoring, analysis and revisions;
  • Registers goods receipt in Atlas, and contributes to the revision of the procurement monitoring sheet;
  • Provides logistic support to the timely organization of workshops and meetings (including reservations, travels, accommodation, materials);
  • Renders support to the proper and timely preparation of consultants’ contracts with all supporting documents;
  • Supports knowledge building and knowledge sharing in Country Office;
  • Undertakes other tasks that may be assigned by UNFPA in connection with the fulfillment of the above responsibilities.

Work Relations

The Programme Assistant maintains collaborative relationships with all programme and project staff at the CO. Internal contacts include the Assistant Representative, the Programme Specialist, the Programme Analyst, the CO’s programme/ technical team, and the CO’s administrative management team.

Required Skills and Experience

Education:

  • High school diploma.

Experience:

  • 5 years of relevant administrative or programme experience;
  • UNFPA and other international organizations preferred;
  • Proficiency in current office software applications.

Languages:

  • Fluency in English and Arabic is required.
