Background

Under the overall guidance and supervision of the Technical Advisor (SD), the Administrative Assistant provides the overall administration and execution of varied and inter-related operational and logistical activities ensuring high quality and accuracy of work. The Administrative Assistant promotes a client, quality and results-oriented approach.

 The Administrative Assistant works in close collaboration with the Operations, Programme and projects staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.

Duties and Responsibilities

UNDP is supporting the Government of Botswana with technical expertise to integrate sustainable development into NDP11 processes, and is pulling together a team of technical experts to be called upon to practically resource the process at different points of the integration road-map. The Administrative Assistant will provide administrative and logistical support for the process, in liaison with the UNDP Technical Specialist on Sustainable Development, UNDP Operations Team and the Energy and Environment Programme Analyst. The specific tasks are:

  • Writing weekly updates on SD activities and progress in liaison with the SD Technical Specialist;
  • Compiling a database of Sustainable Development stakeholders in Botswana;
  • Assembling and sharing relevant documentation with consultants, TWGs and the SD for NDP11 Lead Team;
  • Promoting the participation of youth groups in SD processes by gathering background information on youth groups in Botswana and writing short papers on Youth and Sustainable Development;
  • Support the organization of meetings and their logistics in liaison with Ministry of Environment/Department of Environmental Affairs and UNDP;
  • Participating in Sustainable Development and NDP11 meetings and taking notes and sharing them with meeting participants;
  • Tracking and documenting milestone activities of the NSSD process in Botswana that will form part of the final NSSD report.

Required Skills and Experience

Education:

  • Secondary education;
  • Certification in Administration;
  • University Degree in Business or Public Administration desirable, but it is not a requirement.

Experience:

  • 2 to 3 years of relevant experience in administration or programme support service;
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.);
  • Experience in handling of web-based management system

Language requirements:

  • Fluency in the UN and national language of the duty station.
