Background

The United Nations Population Fund (UNFPA), South Sudan Country Office, Juba, South Sudan, seeks to recruit a suitably qualified and experienced candidate to fill the position of Office Assistant-Receptionist.

Under the guidance and supervision of the Operations Manager, the Office Assistant/Receptionist operates telephone communication, and general reception and information services ensuring high quality and accuracy of work.  The Office Assistant/Receptionist also provides logistics support in the administration of the office and promotes a client, quality and results-oriented approach.

The Office Assistant/Receptionist works in close collaboration with the Management Support, Programme and Operations Teams and other UN agencies’ staff to ensure consistent service delivery.

Duties and Responsibilities

Summary Key Functions:

  • Welcome and answer inquiries from visitors;
  • Assistance to visitors by providing directions and accurate information related to UNFPA;
  • Operation and management of the telephone switchboard in accordance with appropriate protocol;
  • Management and planning of the front desk coverage;
  • Dispatch, and log outgoing/incoming mails and packages to/from relevant partners;
  • Custodian for management of office stationery supplies, including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution;
  • Monitoring and maintenance of staff leave and leave records both in Atlas and out of Atlas;
  • Make photocopies, as required;
  • Serve as an assistant for the Operations unit;
  • Assists and ensures proper filing of Operations Documents;
  • Assist with the arrangements for hospitality services during meetings and workshops;
  • General clerical assistance;
  • Assists with preparing Requisitions in Atlas and downloading of reports;
  • Performs other duties as required.

Required Skills and Experience

Education:

  • Secondary School Education;
  • Specialized training in secretarial studies desirable, but not required.

Experience:

  • 3 years of progressively responsible secretarial/receptionist experience is required at the national or international level;
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.);
  • Experience in handling of web-based management systems (e.g. PeopleSoft, Atlas).

Language:

  • Fluency in oral and written English is required;
  • Knowledge of Arabic, desirable.
