Background

The UN Trust Fund to End Violence against Women (“UN Trust Fund”) was established by General Assembly Resolution 50/166, with UN Women as the Fund’s Administrator on behalf of the UN system. The UN Trust Fund is the only global multi-lateral grant-making mechanism providing support for governments and non-governmental organizations to address the global pandemic of violence against women and girls. To date, the UN Trust Fund has awarded $129 million to support 462 initiatives in 139 countries and territories. Currently, the UN Trust Fund portfolio includes 106 active grants.

As part of a comprehensive UN Trust Fund fundraising strategy seeking to generate larger levels and more diverse sources of funding over the next five years, the UN Trust Fund will hold a Special Event in London on 25 November 2017. Organized in full collaboration with all existing partners in London, featuring the UN Trust Fund’s Orange Label cause-related marketing initiative, and with a support of high level individuals, the event will aim to raise funds for the UN Trust Fund as well as use the Orange Label initiative to increase and engage new private partners, large and small. The event will also highlight the International Day for the Elimination of Violence against Women and it anticipates participation of UN Women’s Executive Director.

To prepare for this Special Event, the UN Trust Fund requires the services of a senior level London based Gala Producer to be responsible for preparations of the on-site live production and management of the event on the night. Additionally, in the run up to the event, this consultant will liaise directly with the UN Trust Fund HQ based Executive Event Coordinator for a full range of pre-production logistical support.

Duties and Responsibilities

Under the overall guidance of the Chief of the UN Trust Fund and the Executive Event Coordinator, the Gala Event Producer will undertake the following:

  • Participate in routine pre-production meetings that involve implementation of the on-the-ground logistics (in London);
  • Provide inputs to the UN Trust Fund regarding the selection  of  venue, high-profile entertainers; emcee recommendations and advise on fundraising logistics;
  • Serve as eyes-on-the-ground for the Executive Event Coordinator as logistics are assessed and solidified during pre-production planning;
  • Follow-up on communications with London-based vendors as deemed needed and appropriate by HQ;
  • Ongoing liaison with the HQ Executive Event Coordinator to ensure a seamless end-to-end production of the Gala;
  • Become completely familiar with the final Gala ‘scenario’ (timed ‘run of show’) in order to manage the Gala in real time;
  • Be available full time to the HQ team in the 2 days prior to the Gala to review in detail all plans and to serve as guide for the final venue walk-through;
  • Coordinate and manage all rehearsals and preparations on the day of the Gala (25 November);
  • Oversee the preparations and the work of the volunteer staff on the day of Gala;
  • Provide Production oversight for Load in, technical preparation, tech rehearsal and Load out/strike on 25 November;
  • Serve as the live event Producer of the Gala on 25 November.

Participate in a post event debrief with the UN Trust Fund Chief and staff to recommend action steps to capitalize on the event and share any lessons learned.

  • Prior experience of working with governmental, and/or large non-governmental or other high-level fundraising events, especially those requiring protocol savvy.
