The United Nations Development Programme (UNDP) Multi-Partner Trust Fund Office (MPTF Office) provides dedicated fund administration services when UNDP is appointed by the UN System to serve as the Administrative Agent (AA) and as their partner administrative interface for Multi-Partner Trust Funds (MPTFs) and Joint Programmes (JPs) using the pass-through fund administration modality. The MPTF Office is the AA for 95 % of all UN MPTFs (representing 99.5 % of their value) thereby functioning as the de facto central service centre in the UN for the provision of transparent and accountable fund management services. The Office provides a one-stop shop with focused support and service to UN Country Teams (UNCTs), national governments and donors. It enhances the UN’s accountability for its growing role in MPTFs established in the context of humanitarian, transition, reconstruction and development programmes.

Functions/Key Results Expected

The MPTF Office has taken stock of the lessons learned of its operations since 2004 and has developed an operational manual to capture this knowledge and the policies and procedures that are specific to the MPTF Office.  The manual extracts policies and procedures from existing UNDG and UNDP sources, notably the UNDP Programme and Operations Policy and Procedures (POPP), and provides the detailed steps for MPTF Office staff to carry out their functions.  It uses the same corporate template as used for the POPP. 

The MPTF Office Manual was launched in 2012, and reviewed by the staff for its usability.  Staff noted that the manual was not fully being used and one of the reasons given was that the manual in its current format was not easy to navigate.  In order to ensure that staff have access to a  user friendly  manual to be used on a day-to-day basis as the authoritative source for office-wide policies and procedures, the MPTF Office seeks to engage an Intern to provide the following tasks:

Duties and Responsibilities

The Editor and Layout Specialist will be responsible for assisting and providing support the following activities:

  • Interview MPTF Office staff to assess client satisfaction with the current manual and identify design needs for the manual;
  • Propose options for the (re)design;
  • Finalize (re)design based on consultations with MPTF Office staff and  management;
  • Implement (re)design and finalize on-line manual;
  • Other duties to support the annual reporting exercise.

Qualifications et expériences requises

Education:

  • Currently enrolled in a graduate-level degree programme in design, web design, visual design, information systems, or related degree.
  • Only those students who will return to their studies upon completion of their internship assignments are eligible.

Experience:

  • Relevant professional experience is an asset.

Language Requirements:

  • Excellent written and oral communication skills in English. Additional UN language would be an asset.

Conditions of the Internship:

Candidates who are shortlisted for an interview must submit prior to the interview the following documents:

  • Official letter from the University confirming enrollment in a graduate-level degree programme;
  • Copy of school transcript;
  • Letter of endorsement from a faculty member who has worked with the student in the recent past and who is knowledgeable on the student’s performance;
  • Applicants must complete the online form and upload a recent CV/resume;
  • Complete and sign the “Application Form” which is available at http://www.undp.org/internships. UNDP only accepts interns for a minimum of 6 weeks and a maximum of 6 months. UNDP does not pay for internships.  The costs associated with the latter must be borne by the nominating institution, related institution or government, which may provide the required financial assistance to its students; or by the student, who will have to obtain financing for subsistence and make his or her own arrangements for travel, accommodation, etc.
  • Proof of medical and life/accident insurance valid for the location in which the internship will be carried out (i.e. New York, USA).
