Under the guidance of the Regional Security Advisor and direct supervision of Deputy Regional Security Advisor, the Operations Assistant provides support to office operations performing a variety of standard operations processes ensuring high quality and accuracy of work. The Operations Assistant promotes a client, quality and results-oriented approach.

The Operations Assistant works in close collaboration with the Agencies, Funds and Programs staff in the region and other UNDSS staff to exchange information and ensure consistent service delivery.

Devoirs et responsabilités

Ensures Recording and Updating the quarterly returns, focusing on achievement of the following results:

  • Full compliance of operational activities with UN/UNDSS rules, regulations, policies and strategies;
  • Ensure regular contact with CSFP’s within the region;
  • Inputting and updating the country briefing notes;
  • Close liaison with the Administration assistant to update the staffing lists;
  • Ensuring the returns are reviewed and submitted on time.

Performing regular Emergency Communications Systems checks:

  • Maintains the correct contact details for all staff region wide;
  • Liaises with all Sat phone holders and conducts a bi monthly sat phone communication test;
  • Conducts a skype test with all CSFP and HoA staff region wide;
  • Conducts monthly radio checks for Fiji;
  • Ensures monthly Solomon Islands radio checks are performed;
  • Liaises between agencies and radio comms providers if there are electrical faults.

Issuing and managing staff I.D cards:

  • Liaising with all ASFPs and CSFP region wide to receive, manage and process new staff I.D cards;
  • Ensuring the I.D cards are up to date region wide;
  • Preparing appropriate budget amounts to cover the I.D card process and courier fees;
  • I.D card design and equipment maintenance and supplies ordering.

Creating and managing a staff residential MORSS database:

  • Designing and implementing a residential staff database;
  • The database is to record with pictures and GPS as well as a physical description each staff members location and other appropriate information including dependents, generators etc;
  • Every time a staff member arrives to the duty station or moves location within the duty station this is to be recorded;
  • The database is to link to the residential MORSS assessment and endorsed MORSS.

Maintaining, updating and preparing staffing contact lists, headcounts and associated maps:

  • Create a staffing presence map for the region;
  • Create and update an agency presence map for the region;
  • Liaise with the administration assistant to ensure the staffing lists and contact details for all staff region wide is up to date.

Qualifications et expériences requises

Education:

  • Successful completion of Secondary education. A Diploma or Bachelors Degree in business, finance, management, economics or related field will be desirable but not a requirement.

Experience:

  • 5 years of relevant operations, communications, administrative and or security experience at the national, regional or international level. Experience in the usage of computers and office software packages (MS Word, Excel, etc.).

Language:

  • Fluency in the UN and national language of the duty station.
