Antecedentes

The Outreach and Business Development Team (OBDT) is responsible for proactively driving the strategic positioning of UNIFEM so that the size, sources and predictability of its resources help the organization achieve its strategic goals. A service center to UNIFEM HQ Sections and Field Offices, OBDT is organized into three functional clusters: Resource Mobilization, Intergovernmental Relations, and Communications. Given the scope and interrelationships of OBDT's functional responsibilities, the work of OBDT is highly synergistic, involving constant and direct interaction and information-sharing among team members, to provide high-quality advice, services and support to UNIFEM.
 
Under the supervision of the Head of Communications, the Communications Analyst for Production, Branding and Social Media advises UNIFEM colleagues on the development of publications, the production and dissemination of which s/he oversees at UNIFEM headquarters. In this context, s/he backstops launches of UNIFEM's flagship publication Progress of the World's Women and other publications. S/he also advises UNIFEM colleagues on branding issues, ensuring that UNIFEM web sites, publications and other products adhere to UNIFEM's corporate design guidelines for consistent and effective branding. S/he maintains rosters of vendors and translators, develops specifications for bids and ensures quality control in the production of UNIFEM publications. S/he is also responsible for monitoring stocks of UNIFEM publications and videos, and timely reprinting/ reproduction thereof.
 
A second area of the incumbent's portfolio lies in outreach through new social media platforms, a fast emerging growth area in the area of communications that validates dedicated staff time to assess its potential and keep abreast of new developments.
 
The Communications Analyst for Production, Branding and Social Media advises and supports UNIFEM headquarters and field offices. The incumbent also liaises closely with the media specialist on online media outreach and the launching of new publications, as well as with web managers at HQ and in the field to ensure that publications are featured on UNIFEM's web sites. S/he also liaises with the Programme Communications Specialist and the Knowledge Management Specialist to ensure that UNIFEM knowledge products are promoted and systematically branded.

1. Coordinates the production of UNIFEM publications

  • Reviews publication plans with UNIFEM sections at HQ, provides advice as to format, print-run, timeline etc. and develops a production plan on this basis;
  • Develops specifications for production processes and initiates competitive bidding process as needed with graphic designers, printers, photo researchers, copy editors etc; prepares presentation of selected vendors to UNIFEM's contracts committee and ensures preparation of contracts;
  • Oversees all stages of the production process, such as design, printing, and copy editing to ensure timely and efficient production of high-quality print products; in this function, acts as focal point for and intermediary between editorially responsible sections and vendors to ensure that all needs for production of cutting-edge publications are met;
  • Manages process of ISBN issuance and registration;
  • Updates and expands OBDT roster of vendors;
  • Advises on the development of a new system for production planning, registration, review, and tracking of expenses.
2. Advises UNIFEM sections at HQ and in the field as well as National Committees on branding issues, and strengthens UNIFEM's brand through publications programme.
  • Ensures adherence to UNIFEM graphic standards in all UNIFEM products, such as publications, web sites and promotional items, and advises HQ sections and field offices accordingly; advises on further developing and improving such graphic standards;
  • Ensures adherence to basic content guidelines; advises on further developing and improving such guidelines; 
  • Advises on the development of graphic design templates for thematic and/or functional publication series to strengthen UNIFEM's brand.
3. Oversees distribution of publications, including through backstopping of regional launches of UNIFEM's flagship publication Progress of the World's Women.
  • Ensures that all UNIFEM publications are published on UNIFEM web sites to increase recognition of UNIFEM as a knowledge provider on gender issues;
  • Supervises distribution of UNIFEM publications to key target audiences and field offices; to that end, supervises updating and expansion of UNIFEM contacts database and shipment of publications; drafts cover letters for publication distribution and other related correspondence;
  • Directly supervises distribution assistant;
  • Expands and coordinates relationships with commercial distributors and universities to increase outreach; ensures timely provision of marketing material and publications to distributors; monitors sales figures and ensures receipt of funds;
  • Works closely with the Head of Communications and the Media Specialist to meet needs for publication launches;
  • Backstops regional launches of Progress of the World's Women; in consultation with the Progress coordinator, supports and advises field offices in developing launch concepts, ensures timely shipment of publications, press and promotional material; keeps record of launch events (press articles, speeches, photos etc).
4. Manages inventory of UNIFEM publications and videos.
  • Updates and expands UNIFEM publications database/ inventory and makes records available on the Intranet; to that end, liaise regularly with field offices for inputs and updates;
  • Registers new UNIFEM video productions in video archiving system for easy access and reproduction; files scripts, transcripts and logs; makes record available on the Intranet;
  • Issues regular alerts on new products;
  • Advises on timely reprinting of publications and reproduction of videos as needed.
5. Coordinates translations of UNIFEM publications and other material.
  • Maintains roster of translators and style checkers in main UN languages to ensure high-quality translations
  • Coordinates contractual processes, including retainer contracts for qualified translators;
  • Advises on opportunities to expand translation into additional UN languages of specific flagship publications or UNIFEM web sites;
  • Advises UNIFEM colleagues on translation matters.
7. Engages in outreach through social media.
  • Monitors new developments in the emerging area of social media and advises on appropriate outreach tools and mechanisms;
  • Routinely engages in outreach through social media to increase the visibility of UNIFEM publications and news articles;
  • Increases UNIFEM's target audience by recruiting new "followers"/ "friends" on different social media platforms;
  • Monitors postings and interactions on UNIFEM pages on social media platforms and replies/ reacts to content if necessary.

Impact of Results

The results have a substantial impact on the visibility of UNIFEM through coherent visual presentation and dissemination to increase the reach to target audiences. The results also have an impact on the quality of UNIFEM publications through systematic review of publication plans, compliance with graphic standards and design/ format, as well as translations. Further, the results will have an impact on UNIFEM's visibility in online media through targeted outreach and engagement on social media platforms.

Habilidades y experiencia requeridas

Education:
  • Advanced degree (Masters or equivalent)  in communication, graphic design, journalism, public management or a related field.
Experience:
  • A minimum of 2 years of relevant experience  in communications or branding and production at the national or international level.

Language Requirements:

  • Fluency in English (written and oral) and another official UN language.
