I. Organizational Context

Under the general operational and administrative supervision of the FAO Representative, the overall supervision of the FAO HPAI Programme Team Leader, the direct supervision of the FAO Operations Officer, and in close collaboration with the Senior Technical Advisor and the Field Veterinary Advisor, South Sulawesi, perform a range of duties relating to the objectives of the FAO avian influenza control program in South and West Sulawesi with the FAO / GOI Avian Influenza Control Programme.

The Administration/Logistics Officer is a member of the FAO Makassar project team that facilitates the day-to-day activities of the project in line with the program work plan.  He or she assists in development of monthly schedules, and ensures that the project team and local partner organisations

II. Functions / Key Results Expected

Summary of key functions:


1. Provide administrative and logistic support for field operations of the FAO Makassar project, and provides support to the FAO Makassar technical team for these operations

2. Support the working/operation of the FAO Makassar team together with local/village partner organisations, and other relevant organisations including provincial and district authorities, departments responsible for livestock services, LDCC’s and PDSR officers, and commercial poultry producers and organisations.

3. Provide logistic and administrative support for program activities as required including:

  • Prepare in advance budget estimates and list of needed supplies for the training / workshops / seminars / meetings, facilitate all logistical / administrative needs during such events.
  • Provide proper and updated documentation of logistics / finance during project activities.
  • Create routine office reports including petty cash reports, staff attendance forms, correspondence reports, security approvals, and other forms as required
  • Monitor supplies and equipment for the project – complete the project inventory form.
  • Ensure project vehicles are in good condition, and drivers have operational cash to support project activities.

4. Liaise with the Operations Unit and the FAO Representation, for the reporting, planning, and provision of goods and services. Organize the procurement of services and equipment required for running the program in line with FAO procedures, including cross checking of selected vendors as required

5. Conduct other duties as required


III. Impact of Results

The key results have an impact on the success of FAO/ GOI Avian Influenza Control Programme implementation in Indonesia.

Habilidades y experiencia requeridas

V. Recruitment Qualifications

Education:

  • University graduate in administration, public service, rural development or a relevant subject

Experience: 

  • Strong experiences in administration and logistics matters for the implementation of a development programme including previous experience with procurement
  • Fluency in Bahasa Indonesia and a good command of writing and speaking English
  • Good memo composition and editing skills
  • Proficiency in MS Office, particularly Word, Excel, and PowerPoint
  • Ability to work with individuals from different cultural/national backgrounds good interpersonal and communication skills
  • Ability to manage priorities and workload within general schedule of work, instructions and standardized practices

Language Requirements: 

  • Good ability to speak and write English and Bahasa Indonesia.
