UNIFEM is the women's fund at the United Nations. It provides financial and technical assistance to innovative programmes and strategies that promote women's human rights, political participation and economic security towards the advancement of gender equality. Within the UN system, UNIFEM promotes gender equality and links women's issues and concerns to national, regional and global agendas by fostering collaboration and providing technical expertise on gender mainstreaming and women's empowerment strategies. Under the Strategic Plan for 2008-2011, UNIFEM focuses its activities on one overarching goal: to support the implementation at the national level of existing international commitments to advance gender equality. In support of this goal, UNIFEM works in the following thematic areas:

  • enhancing women’s economic security and rights,
  • ending violence against women,
  • reducing the prevalence of HIV and AIDS among women and girls, and
  • advancing gender justice in democratic governance in stable and fragile states.

In Indonesia, UNIFEM supports both the government and civil society partners in the following areas for the advancement of gender equality and women’s empowerment.

  • Development of institutional capacities within government and civil society to formulate and implement laws and policies to eliminate discrimination and promote gender equality in such areas as access to justice, and ending gender based violence, .
  • Transformation of institutions to make them more accountable to gender equality and women’s rights.
  • Promotion of women's effective leadership and meaningful participation in democratic governance.
  • Empowering migrant women, to participate in development processes, and advocate for gender responsive policies and programmes

 

Duties and Responsibilities

Tasks and Responsibilities:

Under the direct supervision of the National Coordinator/ Programme Officer, the Finance and Administrative Assistant will perform the following functions:

Finance

  • Support the National Coordinator/Programme Officer in management of project budgets.
  • Formulate financial plans and budgets for UNIFEM programmes and projects and submit to the UNIFEM Regional Office through the National Coordinator/Programme Officer.
  • Prepare and arrange all disbursements, payment requests to UNIFEM Regional Office, and liaise with UNDP Indonesia on payments. 
  • Control expenditures, maintain and update financial records and report to UNIFEM Regional Office monthly.
  • Prepare quarterly financial report, financial revision and /or budget rephase and submit to UNIFEM Regional Office as required.
  • Provide guidance to project partners on financial reporting, respond to partner inquiries, and review financial reports from partners.

Administration

  • Support the National Coordinator/Programme Officer in preparation and tracking of annual workplans..
  • Prepare travel requests and make all necessary travel arrangements for National Coordinator/ Programme Officer or missions from UNIFEM Regional Office
  • Prepare procurement documents and contracts following UNIFEM rules and regulations
  • Provide administrative support to organization of conferences, workshops, retreats, meetings and other events.
  • Maintain an effective filing system, both hard and soft versions, that comply with record keeping requirements, and safeguards confidential material.
  • Prepare of routine correspondence, faxes and memoranda. 
  • Organize and maintain a database of project partners and consultants. 
  • Keep inventories of and maintain office equipment and supplies.
  • Communicate with government, ministries, donors, civil society groups and UN agencies as directed by National Coordinator/Programme Officer
  • Translate simple documents
  • .Perform other duties as required by the National Coordinator/Programme Officer

Required Skills and Experience

  • Bachelor’s Degree in Social Science, Business Administration or any related field.
  • Minimum three years experience in handling administrative and financial matters.
  • Familiarity with UNIFEM programmes and business processes would be an advantage.
  • Prior experience with International organizations will be beneficial.
  • Computer literacy and proficiency in Microsoft Office (Excel, Word, Access) is essential.
  • Ability to work under pressure and handle several tasks at hand; ability to meet deadlines.
  • Written and spoken fluency in English and Bahasa Indonesia is required.
