UNDP Indonesia's mission is to be an agent for change in the human and social development of Indonesia. I. Organizational Context


Under the overall guidance of the National Project Director and direct day-to-day supervision of the Project Manager and/or Project Officer, the Project Clerk provides administrative services ensuring high quality, accuracy and consistency of work in project implementation. The Project Clerk promotes a client-oriented approach consistent with UNDP and Implementing Agency’s rules and regulations.

The Project Clerk belongs to a Project Management Unit (PMU), which is established by NPD and UNDP for the implementation of the project.     

The Project Clerk works in close collaboration with:

• The other PMU staff,
• Programme Assistant at the office of the Programme of Support for Deepening Democracy and
• UNDP Programme staff to exchange information and ensure consistent service delivery.

  

Duties and Responsibilities

Summary of Key Functions:

  • Support PMU in  the project implementation
  • Support to knowledge building and knowledge sharing


1. Provides effective support to the project focusing on achievement of the following results:

  • Collection and presentation of background information on project.
  • Provision of inputs to preparation of the team results-oriented workplans
  • Presentation of information/ documentation for audit of NEX projects.
  • Administrative support to organization of conferences, workshops, retreats and other events
  • Preparation of routine correspondence, faxes, memoranda and reports in accordance with PMU SOP.
  • Extracting, inputting, copying and filing data from various sources.
  • Maintenance of files in the Project Unit/ hardcopy and electronic filing of all supporting documentation, project documents
  • Assistance in proper control of the supporting documents for payments and financial reports for NEX projects


2. Supports knowledge building and knowledge sharing in the PMU focusing on achievement of the following results:

  • Participation in the trainings for the operations/projects staff.
  • Contributions to knowledge networks and communities of practice.

Accurate data entry and financial information have an impact on the quality and implementation of the UNDP project.

Required Skills and Experience


V. Recruitment Qualifications

Education: 
Secondary education.

Experience: 
3 to 5 years of relevant administrative experience. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.

Language Requirements: 
Fluency in the UN and national language of the duty station.
