I. Organizational Context
Under the overall supervision of the FAO Representative, direct supervision of the Team Leader, FAO HPAI Control Programme, in close cooperation with International Operations Coordinator and Technical Advisers and in close coordination with Translation and Administrative teams, the Personal Communication Assistant will undertake personal administrative and translation support to the Team Leader.
Duties and Responsibilities
II. Functions / Key Results Expected
Summary of key functions:
- Provide verbal translation services as needed for the Team Leader and for other consultants when available;
- Prepare travel arrangements (ITA preparation, security clearance, hotel reservations, budget estimations, etc.) for travels of the Team Leader;
- Coordinate scheduling of meetings and appointments for the Team Leader;
- Assist the Team Leader to organize and archive information, including written and electronic project materials;
- Draft routine correspondence, memoranda, and reports from oral instructions, previous correspondence or other available information sources in accordance with standard office procedures;
- Maintains the document filing system both hard copy and electronic, receive/send correspondence, and direct communications to the persons concerned; maintain records of such communications; answer telephone and respond to routine inquiries;
- Attend meetings with the Team Leader (when required) and be responsible for taking and writing up minutes of meetings;
- Compile information and inputs from HPAI Programme members for inclusion in routine project reports;
- Assist with the organization of meetings, seminars, workshops, etc
- Identify suppliers of different goods and services and prepare information necessary for procurement and/or transport or delivery of goods; and
- Perform other related duties as required.
III. Impact of Results
The key results have an impact on the success of FAO/ GOI Avian Influenza Control Programme implementation in Indonesia.

Required Skills and Experience
V. Recruitment Qualifications
Education:
- Minimum Diploma degree (D3) in administration, secretarial or other relevant field; University degree would be an asset
Experience:
- Minimum five (5) years work experience in a similar position for an international organizations or companies, particularly with FAO or other UN Agencies will be an added advantage
- Proficiency in MS Office, particularly Word, Excel and Powerpoint
- Organization skills and capability to perform duties with minimal supervision
- Ability to work with individuals from different cultural/national backgrounds
- Good interpersonal and communication skills
Language Requirements:
- Fluency in English and Bahasa Indonesia (written and spoken)
