I. Organizational Context    


Under the administrative supervision of the Country Director and technical supervision of the Team Leader, Global Field Office Support – ITS, the IT Assistant will manage the Information Technology (IT) and communications support provided by ITS to this Indonesia Office.

Duties and Responsibilities

  • Ensure implementation of operational strategies and procedures
  • Provide maintenance and technical support
  • Support knowledge building and sharing

1. Ensure implementation of operational strategies and procedures, focusing on achievement of the following results:
  • Full compliance of information and technology processes with UN system.
  • Provision of inputs to elaboration of workplans
2. Provide maintenance and technical support on information and technology, focusing on achievement of the following results:
  • Provides first level troubleshooting and technical support to users regarding computer hardware, software, network maintenance and administration
  • Undertakes planned regular maintenance of information technology equipment. This will include upgrade software on all workstations and notebooks in the office.
  • Monitors central anti-virus system to manage the Anti-virus deployment at UNODC offices.
  • Evaluate the current hardware and software in use at UNODC offices and shall provide the management with guidelines to upgrade/replace the two in next one year period.
  • Monitors proper power and environmental conditions for office technology equipment.
  • Monitors repairs and troubleshooting of data circuit, voice mail and fax links in co-ordination with service providers
  • Takes regular backups and ensures restoration procedures for the user data.
  • Maintains inventory of hardware equipment, software and computer consumable and assists in procurement of computer consumable and spare parts
  • Plans and supervises installation and relocation of new computers, printers and LAN
  • Co-ordinates and follows up with vendors and service providers for computer hardware, software and communication equipment
  • Assists the programme staff in preparing presentations, Excel sheets, and document designing.
  • Provide training to office staff on various application software’s and UNODC’s applications.
  • Coordinate and liaise with the communication and advocacy team for timely updating of the country office’s web pages on UNODC’s website.
  • Provide technical guidance and support to Indonesia office.
  • Assists the field office in procurement of various equipment and software.
  • Perform other activities as requested
3. Support knowledge building and sharing in the project , focusing on achievement of the following results:
  • Participation in the training for the operations/projects staff on IT issues.
  • Contributions to knowledge networks and communities of practice.

Operational Effectiveness:

  • Ability to perform a variety of repetitive and routine tasks and duties related to programme support
  • Ability to handle a large volume of work possible under time constraints
  • Good knowledge of information and technology system
  • Detailed knowledge and understanding of IT system, in-depth knowledge of office software applications relating to word processing data management presentation, as required.
  • Ability to operate and maintain a variety of computerized business machines and office equipment in order to provide efficient delivery of service
  • Ability to organize and maintain a variety of computerized business machines and office equipment in order to provide efficient delivery service.
  • Experience in Lotus Notes and Novell Netware;
  • Posses sound analytical and troubleshooting skills supplemented with excellent communications skills;
  • Supervise the office’s e-filing system and ensure compliance with existing and new IT policies and standards
Managing data:
  • Collects and compiles data with speed and accuracy identifying what is relevant and discarding what is not, records it in an accessible manner and maintains data bases
  • Thoroughly and methodically collects, verifies and records data demonstrating attention to detail and identifying and correcting errors on own initiative
  • Transmits file data; creates and generate queries, reports and documents utilizing databases, spreadsheets, communications and other software packages with speed and accuracy
Planning, Organizing and multi-tasking
  • Organizes and accurately completes multiple tasks by establishing priorities while taking into consideration special assignments, frequent interruptions, deadlines, available resources and multiple reporting relationships
  • Plans, coordinates and organizes workload while remaining aware of changing priorities and competing deadlines
  • Demonstrates ability to quickly shift from one task to another to meet multiple support needs
  • Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support

Required Skills and Experience

V. Recruitment Qualifications

Education:   

  • Diploma III in Computer Sciences. Certifications from renowned IT institutions will be an added value.
Experience:   
  • At least 4 years of experience in IT support and network management. Website management using CMS will be an added value.
Language Requirements:
  • Excellent knowledge of English. Knowledge of one more local language an advantage.
