Background

Under the overall supervision of the Senior Advisors on Ending Violence Against Women and Human Rights, and in close consultation with the UN Trust Fund Manager, the Administrative Assistant will provide financial and administrative support for the Thematic Advisors, as well as meet with the increased volume of work due to the rapid growth of the UN Trust Fund to end violence against women.

Duties and Responsibilities

  • Process general, mandatory and end-of-year budget revisions, using ATLAS and provide administrative and financial support in this regard to ensure high delivery;
  • Prepare various administrative requests, contracts and financial forms for approvals as required;
  • Manage the Advisors' and other staffs travel requests and plans, including visas;
  • Follow up on travel claims and payments for the Advisors, other staff and consultants;
  • Maintain the Advisors' calendars including scheduling appointments and meetings, compiling leave and mission plans;
  •  Compile annual and other related work plans of the two units; 
  • Organize and maintain project files and electronic filing system for easy retrieval of correspondence and other documents for the two units;
  • Review and screen incoming correspondence and ensure distribution and initiate replies and draft correspondence on routine administrative matters;
  • Transmit correspondence, documents through facsimile, digital sender, and send out mail by pouch or regular mail;
  • Provide logistical and administrative support to workshops and meetings including ensuring communications with partners, consultants and participants as necessary, and draft minutes of such meetings;
  • Ensure that supplies for the staff are in  place; 
    Receive and manage incoming calls for the Advisors, take messages and provide information with discretion as requested;
  • Liaise with Operations, Finance, Human Resources sections and  other sections at UNIFEM as requested and/or as necessary
  • Perform routine secretarial/clerical duties as required;
  • Any other tasks ad requested by the Advisers.

Competencies

  • Thorough knowledge of UN (preferably UNIFEM/UNDP) administrative and financial rules and regulations;
  • Good knowledge and experience of finance and budget management, ATLAS operations and procurement procedures, including use of Microsoft applications;
  • Ability to work in a team
  • Ability to prioritize, grasping the situation quickly
  • Ability for multi-tasking
  • Excellent command of English as well as ability to draft in English.

Required Skills and Experience

  • High school diploma required; training in accounting and/or general administration an asset.
  • At least 5 years of combined experience in UN system finance and administrative related areas.
