Background

Under the guidance and direct supervision of the Administrative Officer, the Admin /Executive Associate to Head of Office ensures effective and efficient functioning of the Admin Unit and the Head of office, full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow and follow-up on deadlines and commitments made.

 

The Admin / Executive Associate to HoO works in close collaboration with UNOCHA staff, UN Agencies and national authorities to ensure efficient flow of information, actions on instructions, agendas.

Duties and Responsibilities

 

  1. Ensures effective and efficient functioning of the Head of office focusing on achievement of the following results:

 

  1. Maintenance of the supervisor’s calendar, contacts with high-ranking visitors,   arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes.
  2. Maintenance of protocol procedures.
  3. Preparation of high quality briefing materials for supervisor for appointments, meetings, missions.
  4. Preparation of informal translations.
  5. Management of HoO missions and representation schedule.
  6. Maintenance of rosters of high-level partners, telephone lists.
  7. Preparation of correspondence, directives, comments on behalf of HoO for his/her signature and making follow-up when required.
  8. Use of automated office management systems for effective functioning of the Head of office.

 

 

  1. Ensures provision of effective communications and admin support to the office focusing on achievement of the following results:

 

  1. Maintenance of the filing system ensuring safekeeping of confidential materials. Use of automated filing system.
  2. Coordination of the information flow in the office, follow up on circulation files.
  3. Responsible for travel of staff which includes preparing the Travel Authority and settlement of F-10 claim.
  4. Support the admin activities of the Admin Unit
  5. Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to HoO.
  6. Screening of all incoming calls and correspondence.
  7. Support to fill in the absence of admin colleagues.
  8. Presentation of proposals to eliminate communication bottlenecks in the office and streamline office procedures between the supervisor’s office and subordinate division.

 

  

    3.   Ensures facilitation of knowledge building and management focusing on achievement of the following results:

 

  1. Sound contributions to knowledge networks and communities of practice.
  2. Organization of specialized trainings for secretaries.
  1. Organization of trainings to UN staff on coordination, administration and protocol  issues.

Required Skills and Experience

 

Education:

 

Secondary Education with specialized secretarial training. University Degree or equivalent would be desirable, but it is not a requirement.

 

Experience:

 

6 years of progressively responsible secretarial, administrative, programme experience is required at the national or international level. UN Admin / Executive experience required. Experience in the usage of computers and office software packages (MS Word, Excel, etc) required.

 

Language Requirements:

 

Excellent working knowledge of Turkish and English required.
