Background

 

UNDP Indonesia's mission is to be an agent for change in the human and social development of Indonesia. We aim to be a bridge between Indonesia and all donors as well as a trusted partner to all stakeholders. We work in four key areas of development: Governance Reforms, Pro-Poor Policy Reforms, Conflict Prevention and Recovery, and Environment Management, with the overarching aim of reducing poverty in Indonesia. Besides the four priority areas, UNDP Indonesia is also engaged in a variety of crosscutting initiatives focused on HIV/AIDS, gender equality, and information and technology for development.

I. Organizational Context

Under the overall guidance of the Programme Manager and direct supervision of the project officer, the Project Assistant provides programme/project support services ensuring high quality, accuracy and consistency of work.
The Project Assistant will work in close collaboration with the project staff in the Ministry of Health and liaise with UNDP country Office as required to exchange information and support programme delivery.

Duties and Responsibilities

Summary of Key Functions:

  • Support to the formulation of strategic documents and activities
  • Support to the management of the project team
  • Support to knowledge building and knowledge sharing


1. Support to the formulation of strategic documents and activities focusing on achievement of the following results:

  • Assist the HIV and TB component in the timely programmes and good quality implementation related issues,
  • Provide support to the preparation of documentation and progress reports on project activities for UNDP and the Principal Recipient,
  • Support in the development of terms of references for activities in support of the team,
  • Assist in planning and managing workshops related to project activities,
  • Identify opportunities for capacity strengthening and prepare plans to provide technical assistance,
  • Assist to prepare reports, and briefing notes on the status of implementation of  the project,
  • Provides a weekly report summarizing the support of the project team to the MOH,
  • Assists to coordinate activities with PMU GF-TB and GF-AIDS,
  • Prepare minutes of meetings and daily correspondences, and
  • Perform other duties as required to support the work of the project team based in the MOH

2. Provides support to the management of the project team focusing on the achievement of the following results:

  • Provides support in creating activities, preparation of budget revisions, provides revision of project activities and continuous project status, determination of unutilized funds, operational and financial closure of a project,
  • Provides support to the management of the project team based in the Ministry of Health, including support in the coordination with the different stakeholders, partners and components,
  • Provides support in the management of the UNDP project team to ensure their effectives and efficiency.

3. Supports knowledge building and knowledge sharing focusing on achievement of the following results:

  • Participation in the trainings for the operations/ projects staff on programme,
  • Contributions to knowledge networks and communities of practice.


III. Impact of Results

Accurate data entry and financial information have an impact on the quality and timely implementation of the UNDP project support team to the Principal Recipient of the GFATM grant in Indonesia.

Required Skills and Experience

 

V. Recruitment Qualifications

Education

University Degree in public health, development studies, or a related social science would be desirable, but it is not a requirement.


Experience: 

At least 3 to 5 years of relevant administrative or programme experience. Experience in TB and HIV work preferable.
Experience in the usage of computers and office software packages (MS Word, Excel, Power point etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems.
Excellent analytical, communication and writing skills.
The ability to work in a team, meet management schedules and produce high quality results.

Language Requirements:

 Fluency in Bahasa Indonesia and working knowledge of English (speaking and writing).
