Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

UN Women Country Office in Georgia has been implementing its Strategic Note (2021-2025), under which one of the priority areas is women’s economic empowerment, with specific focus on women living in rural areas and on marginalized women with multiple disadvantages. With financial support of the Swiss Agency for Development and Cooperation and Austrian Development Agency, and in close cooperation with UN Women ECA Regional Office, UNCTs in Armenia and Azerbaijan, governmental and civil society partners in all three countries, UN Women has started the implementation of the second phase of a multi-year project entitled “Women’s Economic Empowerment in the South Caucasus” (WEESC, phase II). The project goal is to increase economic security and improve access to livelihood and development opportunities for women, particularly the poorest and most excluded in the South Caucasus countries. The project outputs are informed by relevant international commitments to women’s empowerment, and directly linked to the existing agreements between UN Systems and the governments of Armenia, Azerbaijan and Georgia. The project contributes to national priorities and various national plans, that underline the importance of gender mainstreaming in development.

Reporting to Project Analyst (Based in Yerevan, Armenia) and under the overall supervision of Programme Specialist (based in Tbilisi, Georgia), Project Assistant will support in planning, implementing, and managing UN Women interventions under the above-mentioned project. She/he will work in close collaboration with the programme and operations team in Georgia, Responsible Parties in Armenia including UNDP, ensuring successful UN Women programme implementation and achievement of planned results.

Duties and Responsibilities

The duties and responsibilities of the Project Assistant under the overall supervision of Project Analyst (Based in Yerevan, Armenia) and Programme Specialist (based in Tbilisi, Georgia) are:

  • Assist in the preparation of reports, project documentation and submissions;
  • Assist in monitoring of the project activities by reviewing project documentation and a variety of records, progress reports, budgets, and financial expenditures;
  • Maintain accurate financial and personnel records of the project as required by UN Women Country Office;
  • Document project activities and reports;
  • Ensure the maintenance of a filing system, reports or other documentation on the project;
  • Assist in coordination of the exchange of information among the project partners / responsible parties;
  • Prepare and distribute invitation, agendas, various information, etc.;
  • Draft correspondence of a routine nature, responses to inquiries ensuring correctness in terms of

format, grammar, and spelling;

  • Make arrangements for appointments and meetings, provide administrative support to conferences, workshops, retreats;
  • Facilitate travel arrangements: initiate travel authorization for approval, reserve flight schedules, coordinate with the Country Office Operations section for relevant travel advances and claims, seek appropriate visa and security clearances;
  • Make arrangements for appointments and meetings, providing administrative support to conferences, workshops, retreats of the project;
  • Prepare payment requests, financial reports, budget planning, and financial expenditures as needed;
  •  Safe keeping and maintenance of the project / UN Women equipment and stocks;
  • Act as an interpreter/translator on matters relating to WEESC activities from English and Armenian language and vice versa when required;
  • Assist in preparation of donor reports for the project;
  • Assist in Operational Closure of the project;
  • Assist with photocopying, scanning, and faxing (both Country Office and project-related activities);
  • Maintain general office organization (office supplies, rent, communication and transportation issues, etc.);
  • Undertake any other project assistance tasks as assigned;
  • Perform other relevant duties as required.

*Yerevan, Armenia (Travel within Armenia and to Tbilisi, Georgia may be required – travel expenses to be covered separately by UN Women).

Required Skills and Experience

Education:

  • Bachelor’s degree in finance, administration, or in similar field;

Experience: 

  • At least seven years of work experience in the area of finance, general administration, procurement, logistics;
  • Work experience in development projects will be an asset.

Language:

  • Fluency in Armenian and good knowledge of English

Management arrangements:

The Project Assistant will report to and work under direct supervision of UN Women Project Analyst and overall guidance of UN Women Georgia Programme Specialist and Country Representative.
