Background

UN Women MCO-Caribbean (MCO) covers 22 English and Dutch speaking countries and territories in the Caribbean. The MCO maintains a physical presence in five  (5) countries but there remains high and consistent demand for the exercise of UN Women’s integrated mandate across the 22 countries and territories

Reporting to the Representative, the Executive Assistant is responsible for providing a variety of executive administrative support to the Country Representative with full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow and follow-up on deadlines and commitments made.

The Executive Assistant to the Country Representative works in close collaboration with UN Women personnel, UN Agencies and national authorities to ensure efficient flow of information, actions on instructions, agendas.

Duties and Responsibilities

The Consultant will be responsible for producing the following deliverables:

DELIVERABLES

Monthly report of duties outlining:

  • Steps taken to manage the Representative and Deputy Representative’s calendars efficiently.
  • Management of ticketing and DSA for Representative and Deputy Representative travels.
  • Support to providing meeting materials for Representative and Deputy Representative.
  • Support to events as needed.

Functional Competencies:

  • Ability to manage data/schedule, documents, correspondence, reports, and maintain protocol and information flow;
  • Knowledge of administrative rules and regulations;
  • Ability to perform work of confidential nature;
  • Ability to create, edit, and present information in clear format, using appropriate IT functionality;
  • Ability to administer administrative processes.

Required Skills and Experience

Experience:

  • At least 5 years of progressively responsible experience with administrative, secretarial, or programme experience;
  • Experience in the use of computer applications, software packages such as Microsoft Office, and web-based management systems is an asset;
  • Experience with the ATLAS system is an asset.

Languages:

  • Fluency in written and oral English is required.

Education:

  • Completion of secondary education is required;
  • Bachelor’s degree in business administration or public administration is an asset.

 

LOCATION AND DURATION

  • The consultancy will be based in Barbados.
  • The consultant will be engaged for a maximum of 180 working days during the period 7 February - 31 August 2022.

 

REMUNERATION

  • The consultancy fee will be negotiated before contracting. The consultant will be remunerated monthly on submission of the monthly report.

 

HARDWARE, SOFTWARE, AND COMMUNICATION:

  • The consultant must be equipped with a fully functional laptop, which must comfortably run Office 365 programs, using operating systems Microsoft Windows 10/11, or Mac OS X 10.11 or upward. The consultant must be reasonably accessible by email and telephone (preferably mobile). The use of reliable, internet-based (Skype or equivalent) is required.

 

REFERENCES:

  • Minimum of three client references that include the name of the contact person, title and contact information.

OTHER:

  • Interviews will be conducted with the shortlisted applicants.
  • The consultant contracted will be required to sign a statement of confidentiality and freedom from any conflict of interest with potential future contractors with respect to the TORs and work that they will be delivering.
