UN Women’s Regional Office for the Arab States (ROAS) has recently adopted its new Strategic Note (2022-25). Our vision is to achieve gender equality and the empowerment of all women and girls and the full enjoyment of their human rights in the Arab States, propelling economic prosperity and sustainable development for all. Our goal is to accelerate achievements for the largest possible numbers of women and girls in the region, including the most vulnerable, in the next four years. To accomplish this, we work with our partners and offices across 17 countries in the region to implement targeted programmes that support women’s economic empowerment, women’s leadership and participation, women, peace and security and humanitarian issues, as well as ending violence against women.

We are expanding our team in support of deepening our results management, planning and UN Coordination portfolio and are looking for an experienced Planning, Data & Results Management Associate support an exciting portfolio.

Reporting to and the Data and Results Management Specialist, with matrix management to the Coordination Specialist, the Planning, Data & Results Management Associate works with and provides support to the members of the respective teams. S/he supports the overall effective programmes management and programme delivery of the teams consistent with UN Women rules and regulations. The Planning, Data & Results Management Associate contributes to research, financial management, and programme implementation including providing necessary operational, administrative and programmatic support. The Planning, Data & Results Management Associate also works in close collaboration with the operations, programme and projects’ staff in the ROAS and UN Women HQs as required for resolving operational issues and exchange of information. In addition, s/he will support the teams to collaborate with other UN Women offices/agencies when required.

Duties and Responsibilities

Provide administrative support to Data, Results Management, Strategic Planning, Coordination processes:

  • Provide administrative support in the preparation of the teams’ work plans, budgets, and proposals on programme implementation arrangements;
  • Support the overall management of planning and monitoring in RMS, including Annual Workplan and quarterly reports for both ROAS and (C)COs. This includes coordinating offices to collect relevant documents for Annual Workplan Peer-review meetings and reviewing the required supporting document in the Results Management system (RMS) for both ROAS and (C)COs’ to ensure completeness in a timely manner;
  • Support the coordination of inputs for the team’s quarterly and annual reports;
  • Maintain up to date files and prepare information for audit;
  • Support the assembling of briefing materials and prepare power-point and other presentations.

Provide administrative support to financial management to the teams:

  • Create projects in Atlas, prepare budget allocation, budget revisions, revise project awards and status; and determine unutilized funds and the operational and financial close of a project;
  • Provide administrative support in monitoring budget preparation and the finances of programmes/projects; including the finalization of FACE forms if needed;
  • Review financial reports; prepare non-PO vouchers for development projects;
  • Process payment for consultants;
  • Maintain internal expenditures control system;
  • Create requisitions in Atlas for development projects; register good receipts in Atlas;
  • Assist in the preparation and follow up of cost-recovery bills in Atlas.

Provide administrative and logistical support to the teams:

  • Support the overall implementation of the team tasks i.e. Procurement, HR, IT, protocols and other work-related assignments;
  • Undertake all logistical, administrative and financial arrangements for organization for meetings, workshops, events, and missions;
  • Make travel arrangements for team members, including travel requisitions; 
  • Support the management of the Sharepoint;
  • Provide guidance and training to Programme Assistants and partners, as needed.

Facilitate knowledge building and knowledge sharing:

  • Support Coordination Specialist by providing analysis on coordination in the region such as UNCT-SWAP GES, CCA conclusions, UNSDCF frameworks, GEM;
  •  Provide research and administrative support to the synthesis of lessons learnt and best practices related to data and results management;
  • Provide administrative support to the organization of training for the office staff and partners on strategic planning, coordination, data and results management.

Required Skills and Experience

Education and certification:

  • Completion of secondary education and certificate in business, public administration, social science or other related fields is required;
  • Bachelor’s degree in Business, or Public Administration, social science or other related fields is an asset.

Experience:

  • At least 6 years of progressively responsible experience in administration, programme management or financial management/support is required;
  • Advance experience in working in a computer environment using multiple office software packages i.e. MS suite is required;
  • Experience in the use of ATLAS (or another ERP system) is an asset;
  • Experience in supporting a multi-cultural team is desirable;
  • Experience in supporting complex planning and/or complex coordination is an asset.

Language Requirements:

  • Fluency in English and Arabic is required;
  • Knowledge of Arabic and/or French is an asset.
