Background

OCHA mobilizes and coordinates principled humanitarian response in partnership with national and international actors in order to alleviate human suffering in disasters and emergencies, advocates the rights of people in need, supports emergency preparedness and response, and facilitates sustainable solutions for vulnerable people adversely affected by conflict and natural disaster. OCHA’s Regional Office for Southern and Eastern Africa (ROSEA) supports humanitarian operational readiness and response in 25 countries in the region by providing frontline surge, in-country expert support and remote support. This intern position is located in Nairobi, within OCHA ROSEA’s Administrative Unit

The Administrative Intern will be under the direct supervision of the Head of Administration of OCHA ROSEA.

The objective of the Internship is to provide the incumbent with the necessary skills and exposure to the activities and functions of OCHA ROSEA in the area of Admnsitration.

Duties and Responsibilities

  • Support in day to day filing and maintenance of documents; 
  • Assist staff in processing requests for equipment, supplies, extension of UN IDs, transport/hotel bookings(in-coming staff/Missions); 
  • Undertake micro-purchase procurement under the guidance of the Head of Unit;
  • Prepare and regularly update spreadsheet on the cost recoveries for private telephone calls and support in cost recovery of the same and personal usage of official vehicles;
  • Assist staff/front office with organizing meetings by booking venues and catering services;
  • Take notes/prepare minutes during the Admin Team meetings and follow-up on action points;
  • Any other duty that will enhance the skills of the intern in administration and management of the Unit.

Required Skills and Experience

Education:

  • Enrolment in a graduate degree programme of a recognised institution in in Business Administration, Public Administration, Human Resources, Accounting or related field; 
  • Be enrolled in the final academic year of a first university degree program (minimum Bachelor's level or equivalent); or have graduated with a university degree.

Experience and skills:

  • Ability to work with moderate supervision; 
  • Excellent communication & analytical skills are necessary;
  • Proficiency in in E-filing;
  • Proficiency in Computer packages;
  • Good analytical skills.

Language Requirements:

Fluency in written and spoken English is required. Knowledge of another UN official language is an advantage.
