Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

The Facilities and Administrative Services unit ensures the delivery of a cost-effective, client-focused service at a strategic level for all UN Women Headquarters. This includes overseeing an integrated programme of cleaning and building maintenance services, construction and relocation projects and overall delivery of standard office supplies and conference services management. In addition, this includes the management of the global distribution and messenger services center.

Under the supervision of the Administrative and Facilities Specialist the Project and Policy Manager is responsible completion of specialized or complex processes or activities, requiring interpretation of rules and practices, and an understanding of policies and programmes and recommends an appropriate course of action in relation to project and policy management.

Plays a lead role in ensuring consistency and quality of work steps completed.

 

Duties and Responsibilities

Over the course of a project, the Facilities Project and Policy Manager will need to communicate with staff and clients, make decisions and monitor the progress of the project to keep it on schedule.

Important responsibilities for a Facilities Project Manager include:

  • Creating long and short-term plans, including setting targets for milestones.
  • Delegating tasks on the project to employees best positioned to complete them.
  • Making effective decisions when presented with multiple options for how to progress with the project.
  • Procurement of goods and services.
  • Management of budget forecasting, projections, and trends.
  • Serving as a point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy.
  • Communicating with senior executives to keep the project aligned with their goals.
  • Performing quality control on the project throughout development to maintain the standards expected.
  • Adjusting schedules and targets on the projects as needs or financing the project change.
  • Liaise with Field Operations Managers and Focal Points on entity wide Greenhouse Gas data collection exercises.  

Important responsibilities for a Facilities Policy Manager include:

  • Helping to create and manage company policies, including those regarding records management, credit card management and environmental sustainability.

Serving as a liaison between management and employees on issues related to company policies and procedures.

Required Skills and Experience

 

Education and certification:

 

  • Completion of secondary education is required.
  • Bachelor’s diploma is an asset but not a requirement.

 

 

Experience:

 

  • Experience in the usage of computers, office software packages (MS Work, Excel, PowerPoint etc.) is required.
  • Minimum seven (7) years’ administration experience required.

 

Language Requirements:

 

  • Fluency in written and spoken English.
  • Spanish an asset, but not required.
