Background

UNDP Brasil Country Office will be responsible for the joint agreement administration for part of the UN agencies located close to the UNDP Country office premises, effective 2011. This activity was managed by an UN agencies pool and from this year it will be transferred to the UNDP Brazil CO responsibility. In order to fulfill this position this office needs a professional dedicated to this activity due to its complexity and workload. The UN agency pool has agreed to hire this specialized professional to work directly to the COMMON PROJECT.


Duties and Responsibilities

1. ?Ensures implementation of operational strategies, focusing on achievement of the following results:
  • Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies.
  • Provision of inputs to preparation of administrative team results-oriented work plans.
 
2. Contribute to ensure effective and efficient functioning of the General Service Unit focusing on achievement of
the following results:
  • Assist in maintaining follow up of Office payments and work on cost sharing of UNDP and agency shared services, bills in accordance with the usage policy and appropriation of the respective costs to the agencies
  • Provide Support for the general maintenance and repairs within the Office
  • Provide support during the quotation of goods and services up to the amount of USD 2,500.00
  • Provide support with Preparation of translations.
  • Provide support with Requesting and maintaining liaison with other units and agencies, Administration and other Officials regarding various administrative matters.
  • Assist in research , compile and summarize background materials for use in preparation of reports,
  • Attend meetings, prepare minutes and monitor follow-up activities.
  • Assist in the preparation of correspondence and making follow-up when required.
  • Assure the effective functioning of the Administration Unit using UN management systems (Atlas).
  • Receive, screen, log and routes correspondence, attach necessary background information and maintain follow-up system;
  • Responsible for maintaining the follow up of Office payments and Budget Control (Common Project)
  • Provide support to budget plan (Common Project)
  • Performs other administrative duties as required.
  • Support travel?activities such as ticket purchased and ?follow up in Atlas system;
  • Common Project payments conciliation;
  • Support on the agreements documents related to Common Project
  • Provide assistance with Archive and Filing of current contracts and Purchase orders and assist with Storekeeping Activities

3. Ensures facilitation of knowledge building and management focusing on achievement of the following results:

  • Sound contributions to knowledge networks and communities of practice.
  • Cooperate to the organization of trainings to UN staff on coordination, administration, and protocol issues.
  • Cooperate with other colleagues to accomplish their duties.?

Required Skills and Experience

Education:
Secondary education.
Certification or Bachelor in Administration is desirable.
 
Experience:
3 years of relevant administrative experience is required.
Experience in the usage of computers and office software packages MS Word, Advanced Excel, etc.).
Experience in handling of web-based management systems is required.
 
Language Requirements:
Fluency in Portuguese and English  is required.
 
The candidate must have Brazilian Nationality or be legally authorized to work in the country.
