I. Organizational Context
UNESCO office, Jakarta was established in Jakarta in 1951as the UNESCO Office for Southeast Asian Science Co-operation (SEASCO). In 1967 it became the Regional Office for Science and Technology for Southeast Asia (ROSTSEA). From 2001 onwards the office has assumed a dual mandate, namely as the Regional Science Bureau for Asia and the Pacific, and as a Cluster Office for Brunei Darussalam, Indonesia, Malaysia, the Philippines, and Timor Leste.”
Under the overall authority of the Director of UNESCO Office Jakarta and the guidance and direct supervision of the Hydrological/Geological Programme Specialist, the incumbent is responsible for the effective assistance in the delivery of the Office’s administrative services. She/he contributes to promoting a collaborative, client oriented approach consistent with UNESCO rules and regulations. She/he will have the following duties and responsibility:

II. Functions / Key Result Expected
Summary of key functions:
- Provides technical assistance on activities related to geological and hydrological programmes implemented in the region. This will include: reviewing reports and obtaining information through first hand sources; analysing information on subject matters relevant to the organization and on external assistance provided to the countries of the region in the above-mentioned fields, keeping websites and network databases updated, and contribute to and support the further development of the activities of the geological and hydrological programmes, especially in Indonesia and other countries in the cluster, i.e., Brunei Darussalam, Malaysia, the Philippines, and Timor-Leste.
- Provides assistance in monitoring the implementation of geological and hydrological programmes activities as well as other decentralized and/or extrabudgetary programme/project activities by: reviewing related records, work-plans, progress reports, and project inputs; assisting in the management of the budget and financial expenditures; and taking other appropriate actions. Provides technical assistance in fund raisings by gathering and analysing data and information for developing project proposals.
- Draft and administer contracts for the execution of the regular and extrabudgetary programme/projects activities in geological and hydrological, and arrange for the payment and/or the liquidation of related obligations. Process procurement of equipment/services and maintain inventory in an efficient and timely manner, in close coordination with the Administration Unit - UNESCO Jakarta
- Prepare initial status and progress reports by providing information, preparing statistics and drafting selected sections. Prepare background materials for use in discussions, presentations, meetings and briefing sessions.
- Arrange the administrative and logistics inputs required for the organization of conferences and meetings by assessing the proposed venue(s), budget, list of participants, and agenda. Coordinate the arrangements with all parties and assist in the writing of speeches, press briefs and dissemination of information.
- Perform other official duties as may be required by the immediate Supervisor and the Director of the Office.

- Knowledge of the UN system, administrative policies and practices (especially in Indonesia) is an advantage

Educations:
- First level University Degree (BA) in hydrological/geological sciences, environmental engineering/management or other relevant discipline is preferred
- Work Experience: At least 8 -10 years progressively experience in hydrological/geological management and programme coordination, preferably in UN Agencies or international organization.
Language:
- Fluency in spoken and written English and ability to draft documents and express views in a clear and concise manner is a requirement.
