Background

The Office of the UNDP in Brazil requires an employee to support services related to the area of document management, shipping and receiving of diplomatic pouch and others. This work views the implementation of an effective system for receiving, recording, storage, retrieval and dispatch of documents and parcels, and make sure that all documents are organized and accessible in accordance with the rules of UNDP


Duties and Responsibilities

1. Ensures implementation of operational strategies, focusing on achievement of the following results:
- Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies. 
- Provision of inputs to preparation of administrative team results-oriented work plans.

2. Contribute to ensure effective and efficient functioning of the General Service Unit focusing on achievement of the following results:
-Receive, record, classify and forward correctly the documents 
- Record and send documents and parcels by diplomatic pouch 
- Maintain the Central Archive files in accordance with the rules and Regulations 
- Assist in the correct storage and registration of documents 
- Assist with other activities that contribute to the results of general services

3. Ensures facilitation of knowledge building and management focusing on achievement of the following results:

-Sound contributions to knowledge networks and communities of practice. 
- Cooperate to the organization of trainings to UN staff on coordination, administration, and protocol issues. 
- Cooperate with other colleagues to accomplish their duties.

Education:
Secondary education.
Certification or Bachelor in administration or Archiving is desirable.

Experience:
2 years of relevant administrative experience in Registry.
Experience in the usage of computers and office software packages MS Word, Excel, etc.
Experience in handling of web-based management systems.

Language Requirements:
Fluency in Portuguese and working knowledge in English.

The candidate must have Brazilian Nationality or be legally authorized to work in the country.
