Under the guidance and direct supervision of the Communications Specialist, the Communications Assistant supports the implementation of the communications and advocacy strategies of the office to increase the standing and awareness of UNDP with partners, the media and the public. The Communications Assistant promotes a client-oriented approach in UNDP.   The Communications Assistant provides web management support to the UNRCO.

The Communications Assistant works in close collaboration with the Management Support and Business Development, Programme, Operations and project staff in the Country Office, UNRCO,  and UNDP HQ, as required.

Duties and Responsibilities

Supports the implementation of  UNDP CO communications and advocacy strategies as well as publications policy and website management focusing on achievement of the following results:
  • Logistical support to the organization of publicity/outreach for the UNDP CO programme, knowledge-sharing events and promotional opportunities, especially UN events.
  • Dissemination of UNDP information and publications; assistance at public events such as roundtable discussions, press conferences, briefing sessions, interviews.
  • Maintenance of information database and photo library for UNDP
  • Collection of information, preparation of content  for the UNDP web site
  • Develop an intranet template for the Country Office and improve the UNDP CO’s online presence through Face book, You tube and Twitter. The Assistant will also support the implementation of the new website content management system.
  • Research and retrieval of statistical data from internal and external sources for UNDP;
  • Arrangement of briefings and regular meetings on behalf of UNDP with other UN agencies in the CO and with national and international media.
  • Logistical support to UNDP information campaigns along key events or international days
Administrative and logistical support to the UNDP communications team and website management:
  • Assisting in organizing and providing support in coordinating media workshops, press briefings for the Resident Representative, Country Director and other staff, report launches, etc.
  • Assisting in the preparation of press kits for use by staff and media and assisting in the production of fact sheets, updates and other briefing materials.
  • Maintenance of a system of classification and record for incoming UNDP publications
  • Assist with budgetary support in Atlas as required, including creation of vendors
  • Assist with reviewing of translations, contacts with printers and other suppliers to ensure production
  • Establish and maintain contacts with print and electronic media nationally and internationally, particularly with those covering UNDP activities.
  • On behalf of UNDP, establish and maintain contacts with UN agencies’ communication staff.
  • Daily monitoring, review and record media coverage of UNDP and circulate to relevant authorities.
  • Assist in developing and implementing activities and programmes to promote public awareness/knowledge of and access to UNDP’s services, information and materials.
Ensures facilitation of knowledge building and management focusing on achievement of the following results:
  • Identification, documenting and drafting of UNDP CO best practices and lessons learned.
  • Participation in training for the UNDP CO staff on effective communications and advocacy.
Provide Web Maintenance Services to the UNRCO
  • Enhance the layout of the homepage to recalibrate information sharing.  
  • Perform regular technical maintenance duties, troubleshooting as well as improving the site’s performance with additional content.
  • Update as required the content management system - methodological maintenance and updating guide (to be delivered under current contract and updated as appropriate thereafter).
  • Provide technical and formatting support for phased roll out of Teamworks (intranet)
  • Provide support in usage of graphic design and web maintenance through Adobe’s suite of applications and other relevant programmes.
  • Assist in photography for the UN web-platform.

Required Skills and Experience

Education  
  • Secondary education.  University Degree desirable, but it is not a requirement.
Experience   
  • 5 years of relevant experience in communications, public relations and administration.
  • Experience in developing websites and handling of web-based management systems.
Language Requirements 
  • Fluency in UN and national language of the duty station.
