Background

The MCT mission, held on last May 2011 has identified the need of specialization for the travel unit in order to combine all travel services and demands in only one place (including Atlas system approval process and invoice payments). This specialization will bring efficiency and will optimize the travel flow in the office.

There is also a need to introduce new actions to be implemented by IPC-IG, under the project BRA/06/032 (Brasil 3 Tempos – SAE/PR) and listed in the produtcts 1.15 and 1.16, in order to proceed with the logistical and operational activities of the project.


Duties and Responsibilities

1. Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies.

2. Contribute to ensure effective and efficient functioning of the General Service Unit focusing on achievement of
the following results:

• Follow up travel quotations requests via e-mail or online booking tool to ensure that the purchase is in accordance to the UN travel rules and regulations;
• Verify travel requests both in Atlas system and e-mail;
• Clarify doubts and provide travel information to staff and non staff personal regarding travel rules and payments for Daily Subsistence Allowance and transportation;
• File documents related to the travel department;
• Verify travel requests and authorizations. Keep in contact with travelers and travel agency; make sure all the forms and procedures are complete; Connect traveler and agency;
• Send to the travel agency all relevant information to guarantee the purchase is in accordance to the travel authorization received (amount authorized, requested services, etc) as well as to the UN travel rules and regulations.
• Inform UN agencies regarding travelers’ flight information;
• Send to the travel agency cancellations and reimbursements timely requests and monitor the process until the end;
• Administrative and logistical assistance for events and missions;
• Administrative support to the General Service unit;
• Analyze and check the report submitted by the travel agency regarding air ticket reimbursement for validating the information and process the credit operation;
• Provide support for the monitoring, process of the reports received from the Travel Agency and check accuracy regarding purchase, savings, reimbursement, commission (bonus and any credit), payment process, pending issues, and any other report presented by the Travel Agency to validate the information;
• Responsible for travel purchase and follow up of this process in Atlas system (Requisition, Purchase Order, Dispatch, Receipt, PO Voucher) according to the UN rules and regulations;
• Payment process for invoices and Daily Subsistence Allowance timely;
• Payments reconciliation made by the Project and not identified by the Travel Agency;
• Collection of financial disputes with the Project Agencies and doing proper follow up and monitoring until its discharge.

3. Ensures facilitation of knowledge building and management focusing on achievement of the following results:

Sound contributions to knowledge networks and communities of practice.
Cooperate to the organization of trainings to UN staff on coordination, administration, and protocol issues.
Cooperate with other colleagues to accomplish their duties.

Education:
Secondary Education. University degree in Administration or Tourism will be considered an asset.

Experience:
1 year of relevant administrative experience - related to the activities described in the announcement.
Experience in official missions and corporate conferences will be considered an asset.
Experience in UN Agencies will be considered an asset.
Experience in office software packages MS Word, Excel, etc.
Experience in handling of web-based management systems - Atlas system knowledge is considered an asset.

Language Requirements:
Fluency in Portuguese and working knowledge in English


The candidate must have Brazilian Nationality or be legally authorized to work in the country
