Background

Under the overall guidance of the UNODC Regional Representative for Brazil and the Southern Cone and the direct supervision of the Regional Firearms Project Coordinator, the Administrative and Financial Assistant will support the administrative implementation of the project GLO.

Duties and Responsibilities

Provides secretarial, administrative and logistics support to the implementation projects.
Responds or drafts responses to routine correspondence and other communications;
Coordinate with national project officer hired under the project to ensure timely and coordinated execution of tasks.
Liaises with the Liason and Partnership Office and HQ  based staff on administrative and financial matters related to projects;
Makes travel arrangements and organizes capacity building workshops and seminars in the region;
Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
Assists in the preparation of presentation materials using appropriate technology/software.
Performs data entry and extraction functions as necessary.
Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
Handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc.
Performs general administrative tasks, to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure  authorizations, visa applications, etc.).
Maintains files (both paper and electronic).
Performs all required administrative tasks to proceed to the disbursement of funds linked to specific determined donor contributions;
Monitors and registers all expenditures made in relation to the projects;
Establishes a financial archiving system;
Keeps Project Coordinator and National Programme Officer - HIV/Aids Adviser updated with regards to the funding status of the projects monitored;
Supports the Project Coordinator  and National Programme Officer - HIV/Aids Adviser in drafting financial reports, progress, mission, evaluation reports etc.
Undertake any other tasks as instructed and within the scope of expertise.

Required Skills and Experience

Education: 
  • Relevant professional experience at least six years. University Degree in accounting, public administration or other relevant areas will be considered an asset.
Work Experience:
  • In addition to the above, three years of professional experience, preferably in an international environment, in the areas of accounting or financial administration. Previous work experience in the UN system is considered a strong asset, as is experience in UNDP ATLAS and UNODC ProFi systems.
Languages:
  • English and Spanish are working languages of the United Nations Secretariat. For the post advertised, perfect command of Spanish is required. Very good understanding and writing of English is required as well.
Technological Awareness:
  • Fully proficient computer skills and use of relevant software and other applications, e.g. word processing, graphics software, spreadsheets and other statistical applications, Internet, etc.
