Background

The Governments of India and Norway have entered into a partnership to work together toward the attainment of the Millennium Development Goal 4 (MDG 4) that aims to reduce child mortality.

The objective of Norway India Partnership Initiative (NIPI) is to provide catalytic support that would make a strategic and sustainable difference to the rapid scaling up of quality child health services under the National Health Mission (NHM) in four states that contribute the highest number of child deaths, namely, Bihar, Madhya Pradesh, Odisha & Rajasthan. All activities undertaken under NIPI shall be directed towards fulfilling the goals and objectives of NHM. 

Summary of Key Functions:

Under the Primary supervision of the OIC-UNDP- New Born Project and direct guidance and supervision of the Operations Associate the Project assistant provides support to office operations in performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Project Assistant promotes a client-oriented approach consistent with UNDP rules and regulations.  The Project Assistant works in close collaboration with project team members for resolving administration related issues and information exchange. 

The primary role of the Project assistant will be to provide administrative and documentation related support to the overall smooth functioning of the project.  Based in New Delhi the Project assistant will also provide support to all 4 States.

Duties and Responsibilities

The Project Assistant will be responsible for:

Executing  tasks related to providing administrative and logistical support for effective functioning of the project team

General Administration:

  • Attending to phone calls and visitors to the NIPI Project;
  • Co-coordinating with the vendors for couriering of printed materials to states and their districts and acquiring approvals of the same;
  • Co-coordinating with the vendors for printing the visiting card for the staff at national and state level and acquiring approvals of the same;
  • Any other task as assigned by the supervisor.

Travel:

  • Provide travel support to project staff members located at national and state and district level to acquire timely approval on travel authorizations;
  • Preparing travel e-requisitions and acquiring approvals of the same, coordinating with UNDP travel desk for acquiring relevant information pertaining to staff travel as and when required and for booking and issuing tickets for staff/consultants;
  • Handling travel claim forms of the national state and district staff, cross checking all the documentations and then sending those in UNDP core finance department for further processing;
  • Handling travel claim forms of workshop/meeting participants and ensuring their payment are received on time.

Events:

  • Organizing workshops and meetings within the project in and outside Delhi providing all logistic and travel assistance;
  • Arranging accommodation for state staffs and consultants visiting national office for attending meetings/seminars/conferences etc;
  • Work in coordination with NIPI Coordination unit to support in their travel related to SCC and JSC meetings;
  • Responsible for all administration procedures as assigned by the supervisor;
  • Any other function as required pertaining to the effective implementation of the project.

Documentation:

  • Drafting minutes of meetings and letters/correspondence to government officials/external agencies/partners;
  • Keeping track of all the contracts and the POs issued for the projects;
  • Assist in procurement activities by preparation of required documentation for procurement of consultant’s services/goods for the office;
  • Provide support for Initial shortlisting of applications of project recruitment for various by verifying the eligibility;
  • Supervise administration support to the day to day operation of the project office;
  • Assist in collation and compilation of data and information from the concerned implementing partners;
  • Record keeping of leave records for all UNDP-Newborn project staff located at national and state level.

Support for Payments

  • Facilitate liaising of the project claims with the UNDP Administration;
  • Preparation of receipts in ATLAS for all Purchase Order(PO) Payments and payment request forms of all payments non-PO and submitting those to the finance departments for further processing the payments of the vendors;

Required Skills and Experience

Education

  • Graduate with commerce degree /MBA preferred.

Experience:

Essential:

  • 2-3 years of relevant experience in general administration or programmed/project support service.

Desirable:

  • Experience of working with development sector at National level / UN agencies.

Language Requirements:

  • Good command of English language (oral and written). 

Remuneration package is Rs. 55,975/- p.m. (taxable). UNDP also offers additional benefits which includes medical insurance coverage and limited pension reimbursement for the contract holder and encourages work life balance.
