Background

The Youth Economic Empowerment project aims to socially and economically empower disadvantaged youth and women in market oriented technical, entrepreneurial and managerial skills, confidence building and empowering skills necessary to improve their access to productive resources and sustainable earning potential.  Training will be systematically linked and integrated with other complementary interventions such as access to markets, appropriate technology, microfinance, entrepreneurship development and follow up technical assistance and advisory services.  The project adopts a comprehensive, market driven, gender responsive and community-based strategy. It involves strategic partnerships with local authorities, Local Councils, religious leaders, NGOs, private sector, and relevant institutions, and contributes to strengthening their capacity as responsible service providers, facilitators and advocacy actors.

 

Duties and Responsibilities

The Admin Assistant will work under the guidance and supervision of the YEEP Admin-Finance Associate and in close collaboration with UNDP CO Operations Team. The Admin Assistant will support and assist the Admin-Finance Associate in the admin-related tasks which mainly include the following:

Personnel related matters:

  • Assist in processing entitlements (daily subsistence allowance, remuneration) and follow-up on contracts of the project staff and national/international consultants (extensions, renewals etc), and maintain various personnel records and files;
  • Assist on Brief personnel on administrative matters, advise and ensure administrative support as  required;
  • Follow-up on administrative matters between the project and UNDP Country Office.

Logistical/Clerical support:

  • Support in performing office task e.g., office supplies requisition, preparation of equipment specifications, collection of bids and preparation of purchase orders;
  • Assist the project team in ensuring timely procurement of goods or materials as needed for the post training activities for women and youth;
  • Assist in maintaining appropriate inventory records of office material and equipment and prepare the corresponding reports;
  • Supporting the necessary arrangements to meet security requirements;
  • Assist in the logistics and implementation of training, workshops, meetings and other awareness activities pertaining to the project;
  • Assist the CTA in drafting financial, progress and other reports;
  • Maintain general office files and keep information and reference in a manner that allows easy retrieval;
  • Support the Finance-Admin Associate in preparing correspondences and offer documents as required and maintain a log on incoming/outgoing correspondence;
  • Support the office duties which maybe requested by the Project Manager and the project support team UNDP.

Administrative support:

  • Assist in providing general office assistance and handling routine administrative tasks, such as attendance records, mailing record, hotel reservations, flight booking, vehicle booking for staff travel, allocation of duty to drivers and cleaners, maintain office supplies and equipment orders, and the preparation and processing of administrative requests and documents (i.e. travel requests, security clearance, expense claims, vouchers);
  • Liaise between the project and the procurement and the HR office;
  • Support the project with any logistical duties;
  • Any other tasks as assigned by the CTA.

Required Skills and Experience

Education: 

  • Hold a secondary school certificate.

Experience: 

  • Five years of proven and solid experience of admin and logistics;
  • Experience with UN agencies or other international organizations would be an asset.

Language Requirements: 

  • Usage of English and Arabic is required.
