PLEASE READ THE FOLLOWING INFORMATION BEFORE YOU APPLY:

UNDP Country office seeks candidates, who are able to perform functions of a Receptionist on a case by case basis. Contractors will be invited  periodically, when such a need in the Office arises. The schedule and the working hours will be coordinated with the immediate supervisor. The payment for the services will be made based on the number or hours worked upon submission of a timesheet, approved by the direct supervisor.

  1. Cover letter, explaining why they are most suitable for work;
  2. Personal CV  including past experience and at least contact information of two people who could provide a reference upon request;

Devoirs et responsabilités

Ensure the provision of front-desk service and telephone communication services:

  • Maintenance at all times a professional image as the front line representative of the country office.
  • Monitoring of all visitors to the office; assistance to visitors by providing directions and accurate information.
  • Operation and management of the telephone switchboard in accordance with appropriate protocol. Weekly check and test of all lines. Maintenance of recording information in the system, solution of minor technical problems, and reporting to telephone service provider for regular maintenance and repair.
  • Screening and redirecting of incoming correspondence. Registration and posting of outgoing correspondence.
  • Receipt and registration of tender documents. Registration of Letters of attorney.
  • Assistance to staff with sending faxes and making phone calls. Registration of personal faxes/calls for cost recovery.

Ensure the provision of secretarial and administrative support:

  • Translation of incoming and outgoing correspondence upon request.
  • Typing of correspondence, documents, letters, etc. from rough draft materials.
  • Participation in the office meetings and preparation of meeting minutes upon request.
  • Daily absence management, maintenance of staff absence record cards on a monthly basis.Any other clerical support duties as assigned by the office management

Update contact lists on a regular basis:

  • Collection and update of staff information, ensuring all data and information is correct and accurate.
  • Update of the UN Directory and telephone lists of International Organizations, Embassies, and NGOs and other important contacts.

  • Ability to organize and accurately complete multiple tasks by establishing priorities while taking into
  • Ability to establish, build and maintain effective working relationship with staff and clients to facilitate the provision of support;
  • Good knowledge of spoken and written Russian and English languages.

 

Qualifications et expériences requises

Academic Qualifications:

  • Secondary education;
  • High education is an asset;

Years of experience:

  • Experience in performing clerical/administrative duties is an asset;

Other:

  • Previous experience with the UNDP is an asset;
  • Fluency in Russian and English.

Interested individual consultants must submit the following documents/information to demonstrate their qualifications:

  1. Cover letter, explaining why they are most suitable for work;
  2. Personal CV  including past experience and at least contact information of two people who could provide a reference upon request;
  3. Financial proposal – please fill in Annex II (Offeror’s letter to UNDP confirming interest and availability for the Individual Contractor Assignment).

 EVALUATION

Individual consultants will be evaluated based on the following methodology:

Cumulative analysis

When using this weighted scoring method, the award of the contract should be made to the individual consultant whose offer received the highest score out of a pre-determined set of weighted technical and financial criteria:

Total score=Technical Score + Financial Score

Example

* Technical Criteria weight; [70%], maximum 700 points

* Financial Criteria weight; [30%], maximum 300 points

All the offers of individual consultants who scored  490 (70% from 700) and more points during the desk review/interview are acceptable  for financial evaluation. The lowest technically qualified proposal receives 300 points and all the other technically qualified proposals receive points in inverse proportion according to the formula:

P=Y*(L/Z), where

P=points for the financial proposal being evaluated

Y=maximum number of points for the financial proposal

L= price of the lowest price proposal

Z=price of the proposal being evaluated
