Background

Under the overall guidance of the Assistant Country Director of the EECCDRM Unit, the incumbent will assist in programmatic and administrative functions of the Unit pertaining to the smooth functioning and implementation of Regional Climate Finance Project.

Duties and Responsibilities

Programmatic Functions:

  • Assist in conducting information searches on specific project and programme subjects, mainly through on-line research on climate finance;
  • Facilitate and communicate with Climate Finance Regional Team!!!, UNDP CO, key national implementing partners and provincial stakeholders;
  • Assist in maintaining and monitoring, including the updating of the list of stakeholders in relation to the Climate Finance work in Nepal;
  • Prepare reports, documents, power point presentations as per specific formats, project, or programme plans and general reference documents as well as general administrative/financial or specialized tasks related to the project which may be of a confidential nature within assigned area of responsibility;
  • Assist in timely issuance of contracts and assurance of other eligible entitlements of the projects personnel, experts and consultants;
  • Assist the PO/ACD in the EECCDRM Unit on their programmatic areas and functions as required pertaining to the Climate Finance Project.

Secretarial Functions:

  • Perform a wide range of office support and secretarial functions; use standard word processing package to produce a wide variety of documents and reports; screen phone calls and visitors;
  • Draft responses to routine correspondence and provide initial response to other communications, where appropriate, in the absence of supervisor;
  • Provide logistical and operational support to missions and works in Nepal;
  • Support to organize regular meetings and provide required secretarial and administrative support;
  • Maintain both hard and soft copy documentation of all materials and maintain and up-to-date filing system for both hard and soft documents;
  • Create and maintain electronic-archives for key documents and communications;
  • Provide pre-in-and post-session secretarial, administrative and logistics support to meetings and workshops, Perform other administrative/substantive including travel arrangements and security clearance and procurement of office supplies and equipment.

Required Skills and Experience

Education:

  • Completion of Bachelor’s degree in any field; specialized clerical/secretarial courses are desirable;

Skills and Knowledge:

  • Proficiency in MS Word, Excel, Power Point and web browsers.  Knowledge of UN IMIS system would be an advantage.  Knowledge of MS Project would be an added advantage;
  • Good organizing, administrative and communication skills. Ability to meet tight deadlines. Flexible working attitude and good team spirit;
  • Nepali fluency in the local language for day-to-day business contacts both within and outside the organization;
  • English good knowledge of English for daily contact and dialogue with the supervisor and/or other foreign staff in the office in the course of performing official duties, including response to queries, and to possess sound comprehension in English language drafts and documents;
  • Should have the willingness to learn and interested in undertaking new challenges and initiatives.

Experience

  • 3 years of progressively responsible experience in administrative and office support functions in an organization;
  • Experience in UN related projects is an advantage;
  • Experience with organizing events involving international participants (i.e. workshops, meetings, etc.) will be an added advantage.

Language:

  • Proficiency in both written and spoken English is required.
