Background

To better realign the office of Brazil structure to its CPD 2017-2021 and the SDGs priorities, a new design of the programme portfolio will include three mutually reinforcing work streams crafted around three teams:

  1. People & Prosperity: (poverty reduction, social policies, livelihoods, public-private partnerships, inclusive markets and growth)

  2. Planet: (environment, climate change, DRR, Montreal Protocol)
  3. Peace: (prevention of violence, justice, transparency, anti-corruption, human rights, local capacity Development)

The UNDP Strategic Plan (2014-2017) has identified “Inclusive and effective governance systems that can deliver sustainable solutions to poverty, inequality and exclusion” as one of its three areas of work. This includes fostering agreements to achieve major shared national goals and promoting policies for more accountable and open institutions, including work on prevention of violence, justice, transparency, anti-corruption, human rights, and local capacity development.

To allow the implementation of the projects under the portfolio of each thematic team, the “Projects Implementation Support” team will provide – under the guidance and supervision of the Programme Analyst -  technical, managerial and administrative support to DIM and NIM projects. 

Position Specific Context

Under the overall guidance and the supervision of the Programme Analyst, the Project Clerk is responsible for assisting in project related activities, ensuring smooth operations of the projects and consistency of project implementation with UNDP rules and regulations. 

Duties and Responsibilities

 

  • Provides support to the implementation of projects, focusing on achievement of  the following  results:

  • Maintain up-to-date files and records of project documentation;

  • Provide logistical support for Project Board meetings, workshops, and other meetings;

  • Prepares correspondences, translation of documents and researches, as requested;

  • Support administrative tasks related to IC-NIM contracts signature and distribution;

  • Support in administrative tasks related to routine implementation of NIM and DIM projects;

  • Support travel arrangements related to DIM projects and for the programme unit (preparation of Travel Authorizations, follow-up of travel reports, etc);

  • Perform any other tasks assigned by the supervisor.

The key results will support the efficiency and effectiveness in the implementation of the projects, in accordance with UNDP policies and procedures and donor requirements.

Required Skills and Experience

Education:

University degree in administration, social sciences, international relations or related area;

Experience:

  • Minimum of 03 years’ experience in supporting the implementation of projects. 

  • UNDP related experience is advantageous;

  • Previous experience in the organization of meetings and events;

  • Experience in the usage of computers and office software packages (MS Word, Excel, Power Point, etc.), as well as experience in handling of web based management systems is preferred (previous experience in UNDP web based systems – Atlas and extranet - is advantageous);

  • Preferably, previous experience in partnerships with Government andother development partners;

Language requirements:

  • Proficiency in Portuguese;

  • Working knowledge in English.
