Background

Under the daily supervision of the technical guidance of the Team Lead for Recruitment in HQ and in collaboration with the HR Business Partners and the rest of the HR team, the Human Resource (HR) Associate is responsible for administratively and logistically supporting recruitment activities, including assessments and other ongoing special projects.  

Duties and Responsibilities

Administer and implement HR strategies and policies in HQ in full compliance with UN Women rules, regulations, and HR policies and guidelines:

  • Provide general, standard information to the management and staff on HR strategies, rules and regulations;
  • Identify ways in which the administrative needs can be met within existing policies; interpret processes and procedures, anticipate and manage operational requirements;
  • Prepare written response to queries concerning HR related matters.

Provide HR administrative and logistical services in full compliance with UN Women rules, regulations, and HR policies and guidelines, particularly in relation to recruitment:

  • Process, draft, edit, proofread and finalize for approval a variety of correspondence and other communications; maintain files/records, monitor deadlines;
  • Prepare interview documents for screening, interview panels and selection committee;
  • Implement recruitment processes including assistance with screening of long listed candidates, and supporting interviews, including compiling interview reports;
  • Prepare assessment and interview schedules, written exams, the induction and coordination of the travel arrangements to interview sites;
  • Prepare of submissions to Compliance Review Board (CRB) for recruitment;
  • Provide logistical support to recruitment panels;
  • Prepare draft minutes of meetings and related memorandum and correspondence;
  • Provide information and support to applicants, obtaining all necessary documentation;
  • Maintain and update of files;
  • Perform Data search, compilation, provision of the necessary information and reports.

Provide administrative and coordination support in the development and implementation of recruitment and staffing related systems and databases:

  • Provide coordination and administrative support to the pilot and rollout of new UN Women e-recruitment system;
  • Provide administrative, logistical and technical support in the development and management of recruitment/staffing related rosters and databases;
  • Provide regular recruitment status reports;
  • Provide technical advice to clients on recruitment systems as necessary.

Maintain data in relation to HR in full compliance with UN Women rules, regulations, and HR policies and guidelines:

  • Maintain and update internal database and files on administrative HR matters in a confidential and secure manner;
  • Generate a variety of standard and non-standard statistical and other reports from various databases.

Provide any other support to the supervisor, as required.

Functional Competencies

Required Skills and Experience

Education:

  • Completion of secondary education is required;
  • Bachelor’s degree in HR, Business or Public Administration is an asset;
  • Candidates who do not have a university degree or an accredited certification in the field of human resources will be required to complete the Global General Service Test (GGST) or UN Administrative Support Assessment Test (ASAT) – formerly known as the UN Clerical Test.

Experience:

  • At least 6 years of relevant administrative experience, with at least 4 years in human resource management;
  • Experience in supporting recruitment activities;
  • Experience in the UN would be desirable;
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and experience in handling of web based management system.

Languages:

  • Fluency in English is required
  • Knowledge of the other UN official working language is an asset.
