Background

Under the overall guidance of the Regional Representative and the direct supervision of the Senior legal regional adviser, the Programme Assistant will be responsible for all administrative tasks and selected substantive assignments in connection with the Justice section projects, including, but not limited to the project title ‘Improving access to legal aid for women in Western Africa’, and work collaboratively with ROSEN support team.

Duties and Responsibilities

The incumbent will specifically handle the following tasks:

  • Overall administrative arrangements, operations and logistics;
  • Preparation of correspondences, documents and publications;
  • Support for substantive and financial project reporting;
  • Review budgets and assist the project coordinator in determining appropriate budget lines where activities can be charged;
  • Arranging appointments, meetings and missions, training and mentoring sessions;
  • Organise both in-coming and out-going correspondences;
  • Perform interpretation and translation between English and French;
  • Organize consultation meetings in Africa, including participants’ travel and administrative arrangements, negotiating and securing meeting venues, meeting set-up and meeting documents preparation as well as report finalization;
  • Arrange for international, regional, and national meeting as required;
  • As required, assist in drafting assessment reports, evaluation reports and research documents;
  • As required, assist in developing budgets for projects and strategies.

Required Skills and Experience

  • Diploma in administration, finance or relevant areas;
  • A minimum of 5 years relevant experience in administrative work or other substantive areas is required;
  • Practical working experience with U.N. administration and financial management an asset;
  • Excellent written and verbal communication skills in English and French;
  • Strong document drafting skills (letters, reports, etc.);
  • Good knowledge in using Microsoft Office packages (Word, Excel and PowerPoint);
  • Profound knowledge of bookkeeping and budget development.
