Background

The purpose of the Internship Programme is to provide students and recent graduates from diverse academic backgrounds exposure to development issues and a first-hand impression of the day-to-day working environment of UNDP.

Under the guidance and supervision of the Deputy Resident Representative, the Operations Intern provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Operations Intern promotes a client, quality and results-oriented approach.

The Operations Intern works in close collaboration with the Operations, Programme and projects staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.


Duties and Responsibilities

Ensures implementation of operational strategies and activities, focusing on achievement of the following results:

  • Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies.
  • Provision of inputs to the CO administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).
  • Provision of inputs to preparation of administrative team results-oriented workplans.
  • Contacts with visitors and staff, arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes.
  • Compilation and preparation of briefing and presentation materials, speeches, background information and documentation for meetings and missions.
  • Translation of simple correspondences, when needed.
  • Arrangements of travel and hotel reservations, preparation of travel authorizations, processing requests for visas, identity cards and other documents.
  • Administrative support to conferences, workshops, retreats.
  • Arrangement of vehicle transportation, regular vehicle maintenance and insurance.
  • Support to maintenance of the filing system ensuring safekeeping of confidential materials.
  • Extraction of data from various sources.
  • Research and retrieval of statistical data from internal and external sources; preparation of statistical charts, tables and reports.
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to head of unit.
  • Assist with audit preparation processes.

Required Skills and Experience

Education:

  • Currently in the final year of a Bachelor’s degree (e.g. an area related to Business or Public Administration); or
  • Currently enrolled in a Master’s degree; or
  • have graduated no longer than 1 year ago from a master’s degree or equivalent studies.

Experience:

  • Understanding of corporate sustainability and private sector development in Africa;
  • Africa experience or know-how is beneficial;
  • Computer literate in standard software applications;
  • Demonstrated keen interest in the work of the UN, and have a personal commitment to the ideals of the Charter; and
  • Demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.

Language:

  • Proficiency in English is required.

Intern requirements:

  • Applicants should indicate which months they are available part- and/or full time and when they complete their studies;
  • UNDP internships are not remunerated. All expenses connected with the internship will be borne by the intern or her/his sponsoring entity;
  • UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship;
  • Interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed;
  • Interns are not eligible to apply for, or be appointed to, any post in the UN during the period of the internship;
  • Interns must provide proof of enrollment in health insurance plan;
  • Interns are not staff members and may not represent the UN in any official capacity;
  • Interns are expected to work full time but flexibility is allowed for education programmes;
  • Interns need to obtain financing for subsistence and make own arrangements for internship, travel, VISA, accommodation, etc.

Only those students who will return to their studies upon completion of their internship assignments are eligible.
