Background

The United Nations Development Programme (UNDP) is the UN’s global development network, advocating for change and connecting countries to knowledge, experience and resources to help people build a better life. UNDP works through 136 country offices to provide development advocacy, advice and assistance to 166 countries in Africa, Asia and the Pacific, Arab States, Eastern Europe, CIS, Latin America and the Caribbean.

The Office of Information Systems and Technology (OIST) is UNDP’s primary provider of ICT services. Within OIST, the Intranet Project Team is responsible for the overall introduction and roll-out of the UNDP corporate SharePoint platform. The New York-based Intranet Project Team provides advisory services on technical and content structure challenges to UNDP Business Units. The Copenhagen-based GIA team provides overall CO support in UNDP in particular with regards to connectivity support, capacity building, and standardization of managed services.
At this point in time the NY-based Intranet Project Team is supporting the business community in accelerating migration of contents from legacy environment to the new SharePoint environment. While the role of OIST in migration is a facilitation role, OIST has also taken on major role in migration of critical and large components of legacy contents.
Going forward, the task at hand for OIST is to bring all existing UNDP Country Offices as well as Regional Centres, Policy Centres and other UNDP presences onto the corporate platform. To this end, OIST is seeking to engage a Business Analyst, to bolster OIST’s ability to coordinate the vast UNDP CO user community, implement the roll-out campaign and structure, oversee and manage the Intranet Site Owner support process.

The Business Analyst is part of the Intranet Team and will be based in Copenhagen, embedded with the GIA team to effectively link UNDP’s global SharePoint ambitions with existing and ongoing CO support.
Thus, the role of the Business Analyst is twofold: Firstly, coordinate, manage and oversee the CO use of the Intranet Starter Kit (ISK), including roll-out, migration of legacy applications and user support processes as part of the Intranet team. Secondly, serve OIST as an integration point between the Intranet Team in NY and the GIA team in Copenhagen to ensure that the general ICT CO support is in sync with the strategies and development concepts of the Intranet team.

Duties and Responsibilities

Scope of Work:
Under the supervision of the Chief, Application Support, OIST/BoM, the international consultant will perform the following tasks:
  • Through provision of content and providing business analysis service, strengthen the interface between OIST and UNDP Intranet users regarding the SharePoint Intranet. In particular, serve as a content strategy focal-point for the migration and re-structuring of existing Country Office content and data to the Intranet. Consult with individual COs on their needs and advise on applicable SharePoint features/concepts/solutions, including leveraging ISK maturity levels. Support OIST in ensuring the CO’s compliance with UNDP Intranet standards and guidelines;
  • Serve as integration focal point between the Intranet Team and the GIA team to ensure that the Intranet Team’s strategies and developments are effectively leveraged throughout UNDP. At the same point, feed CO lessons learned and user trends, as well as other GIA inputs back to the Intranet Team;
  • Oversee and guide a team of support Interns to manage, in collaboration with the business owners, the timely and complete migration of the existing content onto the new Intranet platform. Analyze, assess and design/map a structure for the new content, and coordinate the migration of content;
  • Serve as a focal point for ad-hoc content, structural and information challenges and issues for CO site-owners and end-users upon request from the assigned user populations (e.g. UNDP COs);
  • Contribute to training of UNDP Intranet Site Owners to administer and manage their respective content;
As time permits and as per the direction of the Chief, Application Support, OIST/BoM, provide hands-on and direct implementation support for Country Offices in SharePoint related challenges based on individually agreed project scope documents.
