UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

In Ukraine UN Women works with the government, parliament and civil society in advancing gender equality through implementation of the national and international commitments on gender equality and women’s human rights. UN Women Ukraine implements interventions towards the realization of following strategic goals: elimination of violence against women and girls; implementation of women, peace and security agenda and gender responsive governance. UN Women works closely with the UN Country Team in integration of women’s rights and gender equality in all spheres of UN work.

Under the overall guidance and supervision of Operations Manager, Driver/Project Clerk contributes to the effective implementation of UN Women mandate.

The Driver/Project Clerk provides reliable and safe driving services to the UN Women staff and visitors, ensuring the highest standards of discretion and integrity, sense of responsibility and excellent knowledge of security issues. The Driver/Project Clerk also demonstrates a client-oriented approach, courtesy, confidentiality, tact and ability to work with people of different national and cultural backgrounds.

Upon the request of the supervisor, the Driver/Project Clerk can be required to provide driving services to consultants, experts and UN Women staff on mission. He/she will also provide administrative support to the Agency.

Impact of results:

The key results have an impact on the efficiency of the programme implementation.  Timely and secure logistical services contribute to successful implementation of the activities.

Ensure provision of reliable and safe driving services

  • Drive an assigned vehicle to transport project employees, consultants, project guests, project visitors and UN Women staff on the authorization of the Project management;
  • Advise on and fully bear the responsibility for the most optimal road itinerary to/from the travel destination;
  • Ensure that the vehicle is parked in authorized safe parking places;
  • Ensure that all instructions regulating safe driving behaviour and Rules of the Road are in hand and strictly followed;
  • Deliver and collect mail, documents and other items, meet official personnel at the airport/railway station and facilitate luggage handling;
  • Perform minor vehicle repairs and arrange timely service/repairs at authorized service stations;
  • Follow strictly all rules and regulations in relation to the use and management of UN Women vehicles as provided by the Operations Unit;
  • Keep abreast of traffic rules and regulations, as well as road security and safety awareness to enable safe and timely arrival for meetings;
  • Ensure that the assigned vehicle complies with the Minimum Operating Security Standards (MOSS);
  • Ensure that all immediate actions required by rules and regulations are taken in the event that the vehicle is involved in an accident.

Ensure cost-savings through proper use of vehicle

  • Log official trips in the official log books;
  • Provide inputs to the preparation of vehicle maintenance plans and reports;
  • Maintain daily vehicle logs (mileage, fuel consumption, routes), be responsible for the calculation of fuel consumption, ensure timely and accurate submission to the supervisor of the logs;
  • Keep track of insurance and applicable tax/registration formalities.

Ensure proper day-to-day maintenance of the assigned vehicle

  • Ensure that the official vehicle is kept clean and is in good working order;
  • Perform minor vehicle repairs and arrange timely service/repairs at authorized service stations; timely changes of oil, checking of tires, brakes, car washing, etc.
  • Provide arrangements for major vehicle repairs,

Ensure availability of all required documents/supplies including vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, and necessary spare parts and other accessories in the assigned vehicle for safe driving.

Process utilities matters

  • Ensure utilities related correspondence is prepared and associated papers and documents are filed. Follow-up utilities bills for timely payments.

Maintain administrative records and provide logistical support to Agency

  • Ensure incoming mail is sorted and distributed both outside and inside the organization, and dispatch outgoing mail
  • Ensure that all logistical and administrative tasks with other agencies and clients are handled professionally
  • Assist in mailing and distribution of materials, collection of goods and financial documents from vendors, as required;
  • Provide administrative clerical services such as photocopying, filing and archiving, maintaining records and ensuring safekeeping of documents;
  • Maintain basic assets records;
  • Provide support to a security focal point.

Qualifications et expériences requises

 

Education:

Secondary Education;

Valid driving license (categories “B” and “C”)

 

Experience:

Minimum 3 years of work experience as a professional driver with an organization;

Safe driving record;

Knowledge of driving rules and regulations and skills in minor vehicle repair;

Experience of administrative/logistics support

Knowledge of protocol and customs issues is an asset

 

Language Requirements:

Fluency in Ukrainian. Knowledge of English and Russian is a strong advantage.
