The United Nations Population Fund (UNFPA), the leading UN organization in Reproductive Health and Population and Development, is recruiting personnel for the Warehouse Assistant position in the South Sudan Country Office.

The Warehouse Assistant will work under the guidance of the RHCS Specialist and Emergency Officer in close collaboration with the UNFPA Humanitarian team.

Devoirs et responsabilités

  • Registers and updates all incoming goods / commodities / items consigned to UNFPA Juba into stock management tracking system;
  • Provides weekly updates to programs and operations teams on current warehouse inventory;
  • Reports regularly to program units on status of procurement requests including, including expected arrival time, availability/lack of availability of items requested changes in specifications of items regularly ordered;
  • Registers outgoing orders / demands delivered to UNFPA implementing partners / beneficiaries;
  • Prepares outbound consignments for delivery to, or collection by implementing partners in response to “Clean Demands” received either directly or through Field, based on the “First In – First Out” (FIFO ) principle to minimize the risk of waste through exceeding a commodity’s shelf life;
  • Arranges transportation and delivery of outbound consignments to implementing partners, track delivery of equipment, supplies and materials to sub-field offices;
  •  Ensures the well – packing of the outbound consignments;
  • In coordination with the relevant program unit, ensures proper advance notice (lead time) to the relevant Field Office of the impending dispatch of an outbound consignment;
  • Reports and provides feedback on any incident / emergency related to the store;
  • Takes responsibility for following through tax exemptions with the appropriate government bodies etc. He should bear the responsibility to manage the movement of goods into Southern Sudan as well as trucking the goods, warehousing and their eventual distribution;
  • Supports procurement by preparing quotes along the lines of TORs drafted by programme staff, and submitting to the relevant vendor after required programmatic and operational approvals have been made;
  • Check and inspect all the equipment, supplies, commodities and materials before distribution. Prepare and verify supplies before distribution. Process and handle papers and documents relating to warehouse supplies;
  • Prepare inventory of all materials and products lying in warehouse;
  • Maintain and manage warehouse operations. Maintain warehouse premises clean and neat. Ensure compliance of safety procedures in running warehouse operations.  Implement best practices in maintaining and managing warehouse;
  • Establish and maintain designated work areas and arrange as needed; ensure orderly and safe conditions at all times. Ensure proper working condition of work areas, and equipment; arrange for repairs/replacements as needed.

Qualifications et expériences requises

Education:

  • Completion of Secondary School;
  • Qualification in pharmaceutical warehousing or and logistics is added advantage;

Experience

  • 3 years of progressively professional experience is required at the national or international level;

Language:

  • Fluency in English is required;
  • Knowledge of Arabic is desirable.
