The United Nations Volunteers (UNV) programme was established by the United Nations General Assembly (GA) in December 1970 through resolution 2659 (XXV). It began operations in January 1971, administered by the United Nations Development Programme (UNDP) and is operational in three domains:

  1. Mobilizing volunteers to enable more people to be directly involved in humanitarian, peace building and postconflict recovery, as well as sustainable development and poverty eradication work of the UN;
  2. Advocating for volunteerism and civic engagement in peace and development; and
  3. Pursuing the integration of volunteerism across policy, legislation and programming as well as delivering on internationally agreed development goals.

UNV is based in Bonn, Germany. UNV has a staff of around 150 at headquarters, and almost 7,000 volunteers deployed in the field. UNV also has an Office in New York, four Regional Offices in Bangkok, Dakar, Nairobi and Panama City that develop regional interventions to advance peace and development, and around 80 Field Units that represent the organization at the country level.
For UNV, 2016 was a year of consolidation. We worked to further enhance the capacity of our partners to deliver at community level, responding to the call of the Agenda 2030 to 'leave no one behind'. During 2016, 6,600 UN Volunteers delivered on site and 12,600 UN Online Volunteers completed 22,700 online assignments.

UNV Administration Unit (AU) is part of the Deputy Executive Coordinator Management Services/Operations Section and is intended to meet the needs of business units based in Bonn.

The key areas of responsibility for the Administration Unit (AU) are the provision of procurement, travel, conference, administrative (including protocol), registry, asset and records management. Additionally, driver services are provided to the Office of the Executive Coordinator.
UNV is in the process of upgrading its intranet. The new version of the site must meet essential requirements as fit for purpose design, modelling, incorporation of new functions and features, and integration of existing applications.

Devoirs et responsabilités

Under the supervision of the Chief, Administration Unit and the day-to-day guidance of the UNV Administration Unit staff members, the intern, will support the team with the following tasks:

1.  Increased efficiency of Procurement services within UNV

  • Development of Quick Reference Guides related to Procurement procedures and policies
  • Provide advice on the development of a web-based procurement dashboard/contract management tool in SharePoint
  • Prepare contract expiry reports to be sent to focal points;
  • Maintenance of the filing/archiving;
  • Support buyers in all procurement cycle tasks;

2.  Provide support to Asset Management functions

  • Assist Asset Focal Point with the end of year asset verification exercise.

3. UNV Records center is introduced within UNV, where selected corporate records are classified and managed in line with the approved corporate policy.

  • Identify and support the implementation of UNV Records Management Policy for AU records

4. Administration Unit Intranet is enhanced

  • Identify and provide advice on potential office space management tools

5. Provide support to other ad-hoc assignments directed by the supervisor as required.

Compétences

Experience with SharePoint and in the areas of international culture, development, volunteerism/civic engagement, as well as experience in developing countries will be an asset but is not a requirement.

Good interpersonal skills and ability to establish and maintain effective partnerships and working relations with people in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.

A desire to work with and gain the confidence and respect of people with different languages, national and cultural backgrounds;
Respect for the principles of the United Nations Charter.

Proficiency in standard software applications (Word, PowerPoint, Excel)

Fluency in English

Qualifications et expériences requises

 Applicants to the UNDP/UNV internship programme must at the time of application meet one of the following requirements:

(a) Be enrolled in a graduate school programme (second university degree or equivalent, or higher);

(b) Be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent);

(c) Have graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation, in the field of business administration or computer science or computer engineering or other related fields.
