Under the overall supervision and the direct guidance of the Procurement / Administrative Associate, the consultant is required to contribute with the products and activities outlined below. Demonstrating and promoting a client, quality and results-oriented approach, tact and ability to work with people of different cultural backgrounds.  In addition, provides reliable support to the procurement processes.

The procurement consultant works in close collaboration with the Operations and Programme team to exchange information and ensure consistent service delivery.

Devoirs et responsabilités

Support the Organization with the following key products:

Selection of consultants.

  • Support in the review of Terms of References of Consultants, on occasions support the preparation of the TORs;
  • Post the vacancies announcements for consultancy in corporate platforms, such as UNDP Jobs;
  • Organize the meeting of the evaluation committee for the selection of the candidates;
  • Initial review (preliminary screening) of received applications;
  • Prepare and maintain the files with all the required documentation of the selection process, gathering all pertinent documents for hiring;
  • Support on the consultancy contracts due diligence following UN Women guidelines;
  • Obtain required documentation to hire the consultants and for the extension of individual contracts, such as medical clearance, performance evaluations, justification;
  • Maintain updated the UN Women personnel validation database for consultants regarding new and extended individual consultant contracts.

In support to the secretariat of the Regional Procurement Review Committee (R-PRC) provide administrative support and conduct regular follow-up.

  • Gather and distribute to the R-PRC members the documentation cleared by the R-PRC secretary;
  • Organize the R-PRC meeting in accordance to the R-PRC guidance;
  • Support the R-PRC in the finalization of R-PRC minutes, collect required signatures submit then through the proper channels;
  • Support the R-PRC secretary in the maintenance of the official records of all cases presented to the R-PRC.

Support to the Procurement Log Project/s provide administrative support

  • Provide support to the process of management of contracts and on the production of procurement periodic indicators for management information and decision;
  • Prepare, upload and maintain the files with the required documentation and the proper due diligence related to procurement processes into the procurement repository on SharePoint.

Performs other duties as assigned.

Qualifications et expériences requises

Education:

  • University Degree in Business, Public Administration, or related field.
  • Specialized training in procurement is desirable.

Experience:

  • At least 3 years of progressively responsible experience on procurement and/or administration at the national or international level is required.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc. experience in handling of web-based management systems.
  • Previous working experience in the UN System or international organization is desirable.

Language requirements:

  • Fluency in Spanish and working knowledge of English.
