Antecedentes

Under the guidance and supervision of the Operations Manager, the Operations Support Intern provides support to HR services, Procurement and Finance in the UNDP Kuwait Country Office ensuring high quality of work, accurate, timely and properly recorded/documented service delivery. The Intern promotes a client-oriented environment and is consistent with rules and regulations approach in the Unit.

The Intern works in close collaboration with the Operations team to exchange information and ensure consistent service delivery. Internships offer a small group of graduate-level students the opportunity to acquire direct exposure to UNDP's work.

Deberes y responsabilidades

Under the direct supervision of the Operations Manager, the intern will carry out the following tasks:

Administrative support to HR:

  • Providing support to recruitment processes such as supporting vacancy announcements/job posting, screening of candidate, assisting in interview arrangements etc.
  • Support HR in review & validation of all staff and project staff year end attendance cards.
  • Support HR in updating personnel files of all staff member and project staff.
  • Assist in providing required Audit documents for the Feb internal audit.

Administrative support to Procurement:

  • Providing support to the procurement team in terms of drafting request for quotations, for final review and approval by the Procurement specialist;
  • Filing including reviewing documents of procurement process to ensure completeness of files based on an existing checklist;
  • Printing out and cataloging electronic bid submissions ensuring bids were submitted by deadline and archiving and assisting the procurement team with additional processes as needed.

Assist in providing required Audit documents for the Feb internal audit.

  • Administrative support to Finance:
  • Cross check and validation of payments, supporting documents and generated reports;
  • Follow-up with other UN agencies for information/documents relating to payments;
  • Maintenance of the proper filing system for financial records and documents;

Assist in providing required Audit documents for the Feb internal audit.

  • Perform any other duties, as required.

Habilidades y experiencia requeridas

Education:

Applicants to the UNDP internship programme must at the time of application meet one of the following requirements:

  • Be enrolled in a graduate school programme (second university degree or equivalent, or higher);
  • Be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent);
  • Have graduated with a university degree in in fields such as Human Resources, Social Sciences, accounting/finance and Procurement & contract Mgmt., or other similar subject, and, if selected, must start the internship within one-year of graduation.

Experience:

Previous related work experience in a national or an international entity would be an asset but is not required.

Experience and knowledge of MS Word and Excel spreadsheet in data management

Language skills:

Proficiency in written and spoken English;

Arabic language knowledge is an asset.

Learning:

The intern will develop a good overview of UNDP Operational practices and a basic understanding of UNDP Operations concepts and procedures.

Financial Issues:

Internships within the UN system are unpaid and subject to conditions the applicant must get familiar with prior to signing his/her internship agreement.

The costs associated with the internship must be borne by the nominating institution, related institution or government, which may provide the required financial assistance to its students; or by the student, who will have to obtain financing for subsistence and make his or her own arrangements for travel, accommodation etc.

Subsequent Employment:

The purpose of the Internship Programme is not to lead to further employment with UNDP but to complement an intern’s studies.

Therefore, there should be no expectation of employment at the end of an internship.

INTERNSHIP CONDITIONS:

  • UNDP does not provide a salary or remuneration for the internship;
  • All the expenses connected with the internship will be borne by the intern or the nominating institution as appropriate;
  • UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship.
  • Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship.
  • The intern must provide proof of enrollment in a health insurance plan, proof of school enrollment/educational status, two letters of recommendation, resume and application.
