A completed internship application form (available in UNDP SA website), & Cover Note is required. Incomplete applications will not be reviewed.

The Cover Note must include:

  1. Graduate Degree Programme (What are you currently studying)
  2. Graduation Date (When will you be graduating from the programme)
  3. Period of availability, including earliest start date.
  4. List the IT skills and programmes that you are proficient in.
  5. Explain why you are the best candidate for this specific internship.
  6. Explain your interest in the United Nations Internship Programme.

Org. Setting and Reporting

The Procurement Assistant provides procurement services ensuring high quality and accuracy of work. She/He promotes a client, quality and results-oriented approach in the Unit.

The Procurement Assistant works in close collaboration with the operations, programme staff in the UNDP Country Office (CO) staff to exchange information and ensure consistent service delivery.

The internship is in the Office of United Nations Development Programme and full-time (five days per week), for duration of three (3) months and can be extended up to six (6) months.

Remuneration, insurance and interns’ expenses

1. Interns are not financially remunerated by UNDP. Costs and arrangements for travel, visas, accommodation and living expenses are the responsibility of:

(a) The nominating institution, related institution or government, which may provide the required financial assistance to its students; or

(b) The intern, who will have to obtain financing for subsistence through private sources.

2. Interns are responsible for securing adequate medical insurance for the duration of their internship with UNDP and must provide a medical certificate of good health prior to starting the internship. UNDP will not reimburse the medical insurance of the intern. Any costs arising from accidents and illness incurred during an internship assignment will be the responsibility of the intern.

3. Applicants for internships must show proof of valid medical insurance for the duty station in which they will intern. For applicants which are neither nationals or residents of the duty station, the insurance must include adequate coverage in the event of an injury or illness during the internship duration which:

(a) Requires transportation to the home country or country of residence for further treatment;

(b) Results in death and requires preparation and return of the remains to the home country, or country of residence.

4. UNDP accepts no responsibility for loss or damage to personal effects that may occur during the internship.

Duties and Responsibilities

Summary of Key Functions:

  • Implementation of operational strategies;
  • Support to procurement processes;
  • Implementation of sourcing strategy;
  • Provision of logistical services;
  • Support to knowledge building and knowledge sharing.

Functional responsibilities:

  1. Ensures implementation of operational strategies focusing on achievement of the following results:
  • Full compliance of procurement activities with UN/UNDP rules, regulations, policies and strategies.
  • Logistics in consultation with the direct supervisor and office management.
  1. Supports procurement processes and at the request of other Agencies focusing on achievement of the following results:
  • Support to organization of procurement processes including preparation of Request for Quotations (RFQ).
  • Preparation and maintenance of the filing system in the procurement Unit.
  • Creating and updating vendors’ roster.
  • Provision of information for preparation of cost-recovery bills for the procurement services provided by UNDP to other Agencies.
  1. Contributes to implementation of sourcing strategy focusing on achievement of the following result:
  • Update of the rosters of suppliers
  1. Supports knowledge building and knowledge sharing in the CO focusing on achievement of the following results:
  • Contributions to knowledge networks and communities of practice.
  1. Performing duties of Administrative Assistant in case of necessity.
  2. Performing other duties as may be required by the Procurement Officer.  

Impact on results:

The key results have an impact on the execution of the procurement services management in terms of quality and accuracy of work completed.  Accurate data entry, presentation of information and client-oriented approach enhances UNDP capability in provision of procurement services.

Required Skills and Experience

Qualifications:

  • University Degree in Business or Public Administration; specialized training in procurement would be desirable.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.)
  • Fluency in verbal and written English and Arabic languages.
