Background

UNDP Malawi is increasing year by year significantly procurement activities and further increase is expected in 2019/2020.New various Project are in a pipeline and the CO needs to increase procurement capacity. Presently there are four staff members in Procurement Unit: one International staff and three national staff including travel and conferences, (GS7, GS5 and GS4). The number of IC contracts and other Service Contracts have also increased recently and as it is part of procurement function, the right overview has to be ensured.

UNDP Malawi also supports UN non-resident agencies with projects based in Malawi. UNDP Malawi is also active member of Interagency Procurement Group as part of Delivering as One and is managing common services therefore various contracts have to be established and managed at the professional level to the full satisfaction of UN Agencies. In this context, UNDP is looking for an intern to support to the Procurement Unit and assist to the International Procurement Analyst.

Duties and Responsibilities

  • Conducting procurement processes including preparation of solicitation documents, receipt of quotations and preparation of evaluation;
  • Preparation of Purchase orders and contracts outside Atlas;
  • Updating and archiving the files of the procurement Unit;
  • Developing the online registration and track record system
  • Assisting in the development of vendor lists/rosters;
  • Providing effective administrative and logistic support to the Procurement Unit and specifically to the International Procurement Analyst.
  • Work in close collaboration with the internal and external clients

Required Skills and Experience

  • Enrolled for (in final year) or recently completed (within first year of graduation) a University degree in business administration, procurement and supply chain management and or any relevant field; 
  • Knowledge of procurement would be a plus;
  • Previous experience of working on procurement would be a plus;
  • Understanding of the public procurement;
  • Ability to work independently with minimum supervision;
  • Knowledge of computer programs, including Microsoft Word and Excel

Important to note:

Interns are not financially remunerated by UNDP. Costs and arrangements for travel, visas, accommodation and living expenses are the responsibility of:

  • The nominating institution, related institution or government, which may provide the required financial assistance to its students; or
  • The intern, who will have to obtain financing for subsistence through private sources.

Medical Insurance

Interns are responsible for securing adequate medical insurance for the duration of their internship with UNDP and must provide a proof of Medical Scheme Registration prior to starting the internship. UNDP will not reimburse the medical insurance of the intern. Any costs arising from accidents and illness incurred during an internship assignment will be the responsibility of the intern.

Costs incurred by interns, including undertaking official travel at the request of UNDP, in the discharge of the activities related to the internship shall be reimbursed by  UNDP on the same basis as costs incurred by staff members or costs reimbursed to staff members, including payment of daily subsistence allowance, as applicable.
